Job Title: Program Assistant Department: Behavioral Health

Reports to: Program Director FLSA Status: Non-Exempt (Hourly)

Job Summary:

The Behavioral Health Program Assistant works under the supervision of the program director and provides support in a customer focused considerate manner. The Program Assistant will perform general secretarial/receptionist and clerical duties for the program. Completes indirect care activities needed for the efficient operation of the department’s Intensive Outpatient and Partial Hospitalization programs. The role provides support for the team and is sensitive to population-specific considerations regarding behavioral health.

Duties/Responsibilities:

1. Answers the telephone in appropriate and professional manner in accordance with hospital policy.

2. Responds, by telephone or in person, to routine questions and requests for information from patients, prospective patients, referral sources, and others who visit or contact the program

3. Collects basic referral information over the telephone from prospective patients and referral sources and routes the information on to appropriate clinical staff.

4. Assists with arranging transportation through WCH for patients who require that service.

5. Schedule and provide appointment reminders.

6. Maintains an inventory of office and other supplies and orders as needed.

7. Maintains the hard copy of patient charts and scans documents into the electronic medical record in an accurate and timely manner.

8. Submits charges for all services provided daily.

9. Communicates clearly and exhibits appropriate follow-up to prevent service delays

10. Collecting and analyzing program data

11. Helps with marketing aspects of the program

12. Performs other duties as required

Education and Experience:

  • High school diploma or GED required
  • Prior medical office experience preferred
