Role Overview

We are seeking a part-time Finance Manager to take ownership of our core financial operations and reporting.

This role is hands-on and execution-focused, with responsibility for ensuring a clean monthly close, accurate reporting, and clear visibility into the financial health of the business.

The ideal candidate brings direct experience working within a marketing, advertising, or PR agency environment and has a strong understanding of how agencies operate day to day. This includes familiarity with project-based work, retainers, and time and materials structures, as well as how scope, pricing, and resourcing impact profitability.

You understand that agency finances are not purely linear, that revenue and margins can shift based on delivery and scope, and that financial visibility plays a critical role in decision-making. You are comfortable operating within that complexity and bringing clarity to it.

What You’ll Do
  • Own the monthly close process in QuickBooks
  • Deliver clean, reliable:
  • Profit & Loss statements
  • Cash position visibility
  • High-level monthly insights (“What changed?” and “What does management need to know?”)
  • Maintain organized and accurate financial records
  • Support light accounts payable / receivable tracking
  • Ensure financial data is complete, accurate, and dependable
  • Proactively identify and flag financial risks, including:
  • Cash flow constraints
  • Delays in collections
  • Unexpected cost increases
  • Clearly communicate gaps, missing information, or issues requiring input from leadership

As the business grows, there may be opportunities to support:

  • Project/job costing and profitability visibility
  • Margin awareness and financial performance insights
Requirements
  • 5–10 of years of relevant accounting or finance experience, including direct experience within a marketing, advertising, PR, or communications agency
  • Prior experience working inside an agency environment (required) with a clear understanding of how agencies operate financially and operationally
  • Hands-on experience with QuickBooks
  • Demonstrated ability to independently manage and complete a monthly close process
  • Strong understanding of core financial reporting, including P&L and cash flow visibility
  • Bachelor’s degree in Business, Accounting, Finance, or related field

  • Strong attention to detail and organizational skills
  • Clear and proactive communication style
  • Sound judgment and ability to flag issues early
  • Comfortable working in a lean, startup and growing environment where systems continue to evolve
  • Ability to operate independently and take ownership while collaborating with leadership

Bonus:

  • Experience with project-based/job costing in QuickBooks or similar systems
  • Familiarity with agency financial dynamics (fixed fee vs. time & materials, margins, resourcing considerations)
