Operations Coordinator — Harpoon Media
The Role
Harpoon Media is an innovative creator agency built for a video-first generation. We are scaling rapidly and looking for an Operations Coordinator to work directly with the Co-Founders to help us manage our growth.
This isn't a role for someone who wants to sit back and manage; you will be in the trenches with the founders, acting as the "connective tissue" that keeps all the plates spinning. You’ll be supported and directed by the leadership team, but we need someone who can take a project and run with it, ensuring nothing falls through the cracks. As the company grows, this role has the potential to evolve alongside us.
Location, Travel & Compensation
- Location: 100% Remote (Candidates must be based in the US or Canada).
- The Anchor Points: Our co-founders are based in Boston, MA and Jacksonville, FL. While the role is remote, "bonus points" if you are located near either of these areas for the occasional in-person strategy session.
- Travel: While primarily remote, there may be future opportunities for travel to New York, Los Angeles, or major film festivals as project needs evolve.
- Compensation: $50,000 – $75,000 USD (commensurate with experience).
- Structure: This role begins as a contract position with a clear path to full-time employment and benefits as we finalize our internal infrastructure later this year.
Key Responsibilities
- Cofounder Support: Act as a right-hand to the co-founders, helping execute on strategic priorities and day-to-day operational needs.
- Sales & Proposals: Collaborate with the founders to draft pitch decks and proposals that translate Harpoon’s unique "organic at scale" model for major studios.
- Account & Campaign Support: Assist in managing the lifecycle of our creator campaigns—from onboarding creators to helping compile final reports for our studio partners.
- Data & Spreadsheet Management: Assist the founders with financial organization and tracking. We need someone comfortable in Excel/Google Sheets to keep campaign budgets updated, organize payment logs, and ensure the logistical side of our finances is tidy. As we scale, you will also assist with the maintenance and hygiene of our internal databases.
- Marketing Materials: Work with the team to keep our marketing materials, case studies, and one-pagers updated and professional.
- Operational Logistics: Help manage the "nuts and bolts" of a fast-growing startup, from organizing meetings to managing software tools and basic project workflows.
Technical Skillset
- Master of the Basics: High proficiency in Google Workspace (specifically Sheets/Slides) or Microsoft Office.
- Data & Design: Experience with Canva or basic Adobe tools is a plus for keeping marketing materials sharp. Bonus points for experience with databases/SQL, as data maintenance and structure will become a larger part of our operations.
- AI-Native: Comfortable using AI tools (Claude, Copilot, etc.) to enhance productivity and draft content.
- Operational Tools: Familiarity with (or a quick ability to learn) CRM and Project Management software like HubSpot, Notion, or Airtable.
The Ideal Candidate
- 1–3 Years of Experience: Ideally, you have "real-world" experience in an agency, media house, or startup environment.
- The "High-Utility" Mindset: You are a generalist who enjoys variety. You’re happy to jump from a high-level pitch deck to a database maintenance task or a detailed budget spreadsheet in the same hour.
- Smart & Adaptable: You learn quickly and can anticipate what the founders need before they ask for it.
- Detail-Oriented: You take pride in the "spinning plates." You are organized, methodical, and reliable.
- Comfortable with Growth: You understand the "contract-to-hire" path of a startup and are excited about building a permanent home here as we scale.
