Position Summary
The Operations Coordinator, Santa Fe Creative Coding Initiative (SFCCI) performs duties related to the college’s Continuing Education & Workforce Development program. Provides leadership for the operations/enrollment staff and student workers, coordinates special projects, manages resources required for course enrollment and delivery systems, and provides administrative support for instructors. The Operations Coordinator does not supervise others.
This is a fixed-term (TERM) position, therefore continous employment is contingent on further position funding, need, and/or project completion time.
Duties & Responsibilities
  • Works collaboratively with Human Resources and Financial Services to hire contractors, instructors, and fellows.
  • Creates Scope of Work documents and manages budget reconciliation and oversees procurement processes, including preparing contracts, purchase orders, third-party payments, and instructor reimbursements.
  • Schedules classes and events for the SFCCI program and coordinates with community partners to develop training and events. Schedule events at SFCC facilities and in locations around the community.
  • Enrolls students in all Continuing Education & Workforce Development program and third-party vendor classes. Sends enrollment invoices to Accounts Receivable for invoicing.
  • Receives, files, and maintains all required instructor-generated paperwork.
  • Coordinates with the Office of Information technology for device management and upgrades.
  • Produces timely and accurate data and reports for private, local, state, and federal grant audit compliance.
  • Provides supervisor with supporting materials for grant procurement and compliance. Communicates directly with Grants Department to deliver requested information. Collaborates with other community programs to ensure fulfillment of grant requirements.
  • Prepares work orders for maintenance and repair needs of offices, classrooms, and public spaces to ensure all equipment is ready for class instruction.
  • Purchases all instructional supplies, materials and equipment to ensure teachers have the necessary teaching tools.
  • Contributes to production of marketing materials, social media campaigns, website pages, and catalogs to bolster the program’s visibility and student engagement.
  • Performs related duties as assigned.
Knowledge, Skills, And Abilities
  • Knowledge of budget reconciliation procurement processes contract or scope of work (SOW) preparation and federal or state grant compliance and audit standards.
  • Knowledge of student enrollment procedures accounts receivable workflows and workforce development program structures.
  • Skill in coordinating multi site event scheduling facility logistics and maintenance work order management.
  • Skill in utilizing enterprise systems, database and enrollment software, standard office applications, and digital platforms to support communication, data management, and content updates.
  • Ability to collaborate across departments to coordinate hiring, device management, and program operations.
  • Ability to produce accurate timely data reports and maintain meticulous records for instructional and grant related documentation.
  • Ability to communicate effectively with community partners and internal departments to ensure program visibility and student engagement.

Minimum Qualifications
  • Bachelor’s Degree in Business Administration, Education, Public Administration or a related field.
  • Two (2) years experience in an administrative support role.
Preferred Qualifications
  • Bilingual (English and Spanish)
  • Experience working in the Government, Non-Profit or Higher Education sector.
  • Experience in program coordination.
Schedule Designation
  • Typically 8:00 a.m. - 5:00 p.m., Monday through Friday. May be required to work afterhours and/or weekends.
  • This position will be required to work onsite in Santa Fe, NM.
