Job Summary

Own and coordinate marketing and project support operations, ensuring organized documentation, scheduling, and on-site/event logistics to keep programs running smoothly and in line with quality standards.

  • Project coordination and admin support across marketing assets, SOQs, and project documents.
  • Meeting logistics, travel, expense tracking, and cross-team collaboration.

Job Description

Responsibilities

  • Maintain organized digital filing systems for marketing assets and documentation
  • Create, update, and maintain marketing materials including staff resumes, project sheets, staff photos, and Statements of Qualifications (SOQs)
  • Assist with the creation, scheduling, and publishing of social media content, including LinkedIn posts
  • Provide logistical and/or on-site support for conferences, recruiting events, and other company initiatives
  • Format, organize, and maintain project documents in accordance with company quality standards
  • Support Project Managers and project teams with administrative and coordination tasks
  • Assist with project activities including document formatting, schedule creation, invoice review, tracking deliverables, and project closeout
  • Coordinate meetings and prepare meeting agendas and minutes as needed
  • Assist with travel coordination, expense reports, and related administrative tasks
  • Communicate professionally with internal staff, clients, and external partners

Requirements

  • Exceptional organizational skills and attention to detail
  • Strong ability to manage multiple priorities and meet deadlines
  • Excellent verbal and written communication skills
  • Strong grammar, proofreading, and document formatting skills
  • Ability to work both independently and collaboratively in a team environment
  • Positive attitude, adaptability, and willingness to learn
  • Ability to follow instructions while also taking initiative when appropriate
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Experience with Adobe Creative Cloud preferred
  • Experience with Bluebeam preferred
