Job Description

Responsibilities

  • Own project timelines, task lists, production calendars, deadlines, and deliverables.
  • Coordinate the handoff from sales and strategy to creative, media, video, and production.
  • Turn proposals, scopes of work, and creative briefs into clear project plans and assignments.
  • Keep project information current and visible in Asana, Slack, Google Drive, and other workflow systems.
  • Assign tasks and deadlines to designers, video editors, production staff, freelancers, and partners.
  • Collect, organize, and track client assets, feedback, and approvals.
  • Manage video-production workflows, including pre-production scheduling, review deadlines, revisions, and final delivery.
  • Keep client communication organized and moving forward.
  • Maintain and improve flywhl’s project-management processes, templates, checklists, reporting, and closeout procedures.

Requirements

  • Three to five years of experience in marketing operations, project management, production coordination, or a similar role.
  • Strong organizational skills and the ability to manage several projects, deadlines, people, and priorities at once.
  • A clear, proactive communication style, strong follow-through, and the confidence to hold others accountable.
  • Comfort coordinating creative, design, video, media, clients, freelancers, and external partners.
  • Comfort working with tools such as Asana, Slack, Google Docs, Google Sheets, Google Drive, AI tools, project-management systems, and video-review platforms.
  • The ability to understand creative briefs, production schedules, video deliverables, client feedback, and approval processes.

Preferred

  • Experience working at an advertising or marketing agency, media company, or creative studio.
  • Experience coordinating video production.
  • A background in automotive, motorsports, enthusiast, or performance businesses.
  • Experience coordinating on-location shoots, automotive events, car shows, or live activations.
  • Familiarity with video-review platforms, digital asset management, content calendars, and production-management tools.
  • Experience coordinating freelancers, contractors, vendors, crew members, or external agencies.
  • A basic understanding of marketing strategy, creative development, paid media, and client-service workflows.
