Job Summary

Own the essential support and coordination functions that keep marketing operations tight, from finance hygiene to cross team project flow and event readiness.

  • Co-Op and Financial Coordination: Own accruals, invoicing, and budget reporting to ensure campaigns are funded and compliant.
  • Project and Ticketing Coordination: Manage requests, priorities, and timelines across stakeholders to hit deadlines.
  • Administrative and Team Support: Maintain inventory, event materials, and vendor assets to enable smooth campaigns.

Job Description

Responsibilities
  • Co-Op & Financial Coordination - Track monthly manufacturer co-op accruals, submissions, reimbursements, and balances
  • Co-Op & Financial Coordination - Coordinate vendor invoicing, sponsorship billing, and marketing-related payments
  • Co-Op & Financial Coordination - Reconcile monthly marketing expenses between accounting and internal tracking systems
  • Co-Op & Financial Coordination - Assist with budget tracking and reporting for promotions, events, and campaigns
  • Co-Op & Financial Coordination - Maintain organized records of invoices, proof of performance, co-op documentation, and vendor agreements
  • Project & Ticketing Coordination - Manage incoming marketing requests through the department ticketing/project management system
  • Project & Ticketing Coordination - Help prioritize, assign, and track projects to ensure deadlines are met
  • Project & Ticketing Coordination - Coordinate communication between internal stakeholders and the marketing team
  • Project & Ticketing Coordination - Monitor project timelines, approvals, and deliverables
  • Project & Ticketing Coordination - Maintain organized workflows, documentation, and status reporting
  • Administrative & Team Support - Track and maintain marketing swag, apparel inventory, and promotional materials

  • Administrative & Team Support - Coordinate ordering, distribution, and inventory organization for branded merchandise
  • Administrative & Team Support - Maintain marketing event materials, including signage, banners, tents, displays, and marketing kits
  • Administrative & Team Support - Assist with scheduling meetings, coordinating logistics, and supporting departmental operations
  • Administrative & Team Support - Gather and organize vendor marketing assets and distribute internally as needed
  • Administrative & Team Support - Support team events, trade shows, sponsorships, and marketing initiatives as needed
  • Administrative & Team Support - Perform additional administrative or operational support tasks as assigned

Requirements
  • Associate degree in Business Administration, Marketing, Accounting, or related field preferred
  • 1–3 years of experience in an administrative, operations, coordinator, or support role preferred
  • Prior project coordination, project management software, ticket management, invoicing, bookkeeping, or expense tracking experience preferred, but not required
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Ability to manage multiple tasks and shifting priorities in a fast-paced environment
  • Comfortable using Microsoft Office, Microsoft Teams, and project management software
  • Strong communication and interpersonal skills
  • Ability to work both independently and collaboratively
  • Class C driver’s license or alternative transportation preferred
  • Friendly, professional, and team-oriented attitude

  • Pay: $23.27-$25.51
