Job Description

ROLE OVERVIEW

The Full Cycle Bookkeeper plays a critical role in supporting the financial health and operational success of Viden Marketing. This position is responsible for the day-to-day financial execution of the business, including billing, collections, payments, and reconciliations.

This is an opportunity for someone who wants more than just a traditional bookkeeping role. You’ll have visibility into how the business operates, the ability to improve processes, and the chance to work closely with leadership and external financial partners.

This role sits at the intersection of accuracy, organization, and flexibility as needed. You’ll be trusted to keep the financial engine of the business running smoothly while contributing to a strong foundation for growth.

RESPONSIBILITIES

Billing & Invoicing

  • Create and send retainer invoices each month
  • Create and send media estimate each month
  • Prepare and distribute invoices
  • Maintain organized billing documentation

Accounts Receivable

  • Record and apply incoming payments
  • Follow up on outstanding balances
  • Manage payment plans and reminders
  • Maintain clear communication records

Accounts Payable & Media Payments

  • Process and pay media bills and vendor invoices
  • Manage cash in advance requests
  • Maintain organized vendor and station communication
  • Support strong partner relationships through reliable payments and responding to inquiries

Financial Accuracy & Reconciliation

  • Reconcile QuickBooks to internal tracking systems
  • Reconcile balance sheet accounts quarterly
  • Review transactions for consistent and accurate coding
  • Perform bank and credit card reconciliations

Media Financial Tracking

  • Maintain media tracking spreadsheets
  • Reconcile media invoices to post logs
  • Research media discrepancies and resolve issues
  • Track overages, underages, and credits
  • Reconcile client invoices, credits, and adjustments
  • Ensure alignment between media activity and financial records

General Bookkeeping

  • Process daily financial transactions
  • Maintain client and vendor accounts
  • Research variances and resolve issues
  • Support financial documentation and organization

Location & Hours

  • Must be able to work in person at Minneapolis-based office (near 494 and France Avenue)
  • This role replaces a ~30-hour/week contractor and can be structured as either a contract position or full-time employment, depending on the right candidate’s fit and experience
