Job Description

Responsibilities

  • End-to-End Event Strategy & Execution: Research industry and regional events, maintain the master calendar, and independently manage comprehensive project plans, logistics, promotional items, and shipping.
  • Sponsorships & Stakeholder Management: Pitch and secure speaking or sponsorship opportunities while partnering with internal Subject Matter Experts (SMEs) and maintaining the primary relationship with the regional sales team.
  • Campaign Promotion & Digital Execution: Drive in-person and virtual event attendance by building target lists, emails, and landing pages in HubSpot, and overseeing the creative production of promotional materials.
  • Vendor Procurement & On-Site Management: Serve as the main point of contact for external vendors, directly managing procurement, contract negotiations, deliverables, and flawless on-site execution.
  • Lead Processing, Analytics & Reporting: Track, qualify, and upload event and webinar leads in Salesforce.com, and communicate impact through event launch announcements, post-activity recaps, and data-driven result reports.

Requirements

  • Event Savvy: You bring a Bachelor’s degree in Business, Marketing, or Communications (or equivalent experience), alongside 2–3 years of proven success independently executing B2B conferences, tradeshows, and webinars.
  • Action Oriented: You proactively take ownership of tasks and push initiatives forward without waiting for direction, stepping in to support cross-functional teams and connect the right people to resolve bottlenecks, anticipate needs ahead of deadlines, and maintain delivery momentum even when conditions are not perfect.
  • Tool Fluent: You possess strong operational experience utilizing CRM and Marketing Automation systems (ideally Salesforce.com and HubSpot) to source emails, manage campaign lists, and track deliverables.
  • Detail Oriented: You have excellent project management skills and can coordinate multiple fast-paced marketing initiatives simultaneously without letting quality or deadlines slip.
  • Relationship Driven: You excel at cross-functional alignment, gracefully managing internal sales expectations and vendor partnerships with high emotional intelligence and empathy. When handling last-minute contract negotiations, shipping delays, or high-pressure logistics, you remain calm, focus objectively on the solution, and maintain absolute professionalism.
  • Growth Minded: You actively share post-event lessons learned with your peers, appreciate feedback, and champion an appetite for ongoing learning and operational change. You experiment with new outreach approaches, virtual formats, and marketing materials, treating unexpected setbacks as data to continuously refine future event strategies.
