Job Description

Thanks for your interest in Success Academy! Running a large, fast-growing, and high-performing network of public charter schools takes a village - families, children, teachers, staff and faculty, advocates, and supporters alike. We are growing fast in New York and expanding to Florida, and we would love to welcome you to our community! We work tirelessly every day to ensure children have access to a fun, rigorous, whole-child education regardless of zip code or economic status. When you join SA, you play a part in giving every student who walks through our doors a fair shot at reaching his or her potential.

We're hiring a meticulous and detail-oriented Executive Search Associate to own knowledge capture and documentation across our executive searches, so our recruiters can stay focused on relationships, sourcing, and closing.

The Role

The Executive Search Associate is the team's documentation and knowledge-capture engine. You sit in on intakes and debriefs, take the notes, and turn recruiter research and interview feedback into polished, consistent documents, including candidate profiles, briefing packets, and debrief write-ups, so nothing about a search is ever lost in translation. This is a hands-on writing and organization role, not a sourcing or scheduling seat. The recruiter owns relationships and decisions, the coordinator owns logistics, and you own making sure every search is captured, documented, and easy to pick up at a glance.

What You Will Own

You will be the documentation backbone for a portfolio of live executive searches, including:

  • Search documentation: kickoff summaries, search briefs, scorecards, and competency maps.
  • Candidate materials: detailed candidate profiles and bios, built from the recruiter's raw research and notes.
  • Briefing packets: hiring-manager briefs, panelist/interviewer briefs, and candidate onsite briefs.
  • Debrief write-ups: turning panel and interviewer feedback into clear, synthesized summaries for the hiring manager.
  • Executive-round materials: briefing documents, including formatted bios and feedback synthesis.
  • Offer documentation: generating the written offer once terms are set.
  • Pipeline visibility: the weekly pipeline report and the silver-medalist/bench tracker.
  • Search record: the complete, organized close-out file for every search.

Key Responsibilities

  • Attend intake meetings, panel debriefs, and other key search conversations to take notes and send timely summaries.
  • Turn recruiter research and rough notes into clean, consistent candidate profiles, bios, and market/target-list documents.
  • Build hiring-manager and interviewer briefing documents from recruiter inputs ahead of each round.
  • Produce written candidate summaries and debrief synthesis after screens, HM interviews, and onsites.
  • Draft briefing documents and format candidate bios for senior-executive rounds. Compile the weekly pipeline report and maintain the silver-medalist/bench tracker.
  • Maintain a complete, well-organized search record and close-out file for every search.
  • Contribute during intakes and debriefs, asking clarifying questions and flagging gaps, while leaving sourcing, assessment, and closing decisions to the recruiter, and scheduling/logistics to the coordinator.

Who You Are - Required Experience

  • 2 to 4+ years in executive search, high-touch recruiting, or a similar client-facing research and documentation role.
  • Strong writing skills with a track record of turning rough notes or verbal input into clear, polished, professional documents quickly.
  • Experience working cross-functionally with senior stakeholders (hiring managers, executives, or clients) and handling confidential information with discretion.
  • Comfort working in a fast-paced environment with multiple concurrent searches and shifting priorities.
  • Familiarity with an ATS or recruiting tech stack (Greenhouse, GEM, BrightHire, or similar) is a plus.
  • Bachelor's degree, or an equivalent combination of education and experience.

Who You Are - Traits

  • Meticulous and detail-oriented; you catch inconsistencies and gaps that others miss.
  • A strong, clear writer who can adapt tone and format to the audience: candidate, hiring manager, or CEO.
  • Organized and reliable; you keep multiple searches' documentation moving without anything slipping.
  • A good listener who can sit in a meeting and capture what matters without steering the conversation.
  • Low ego, high EQ; you're energized by making the recruiter and the process look great, not by owning the spotlight.
  • Connected to the mission of the searches you support.

Exact compensation may vary based on skills and experience.
