Position Overview
The Marketing + Media Alliance is seeking a highly capable Executive Operations Partner to support the CEO. The role goes far beyond traditional administrative support—it is a strategic, high-impact position responsible for maximizing the CEO’s effectiveness, focus, and time.
The ideal candidate is someone who anticipates needs, prioritizes ruthlessly, and ensures that the right conversations, decisions, and follow-ups happen at the right time. This individual will manage the CEO’s calendar, communications, key workflows, and many projects while also driving coordination across critical initiatives. The role offers a unique opportunity to gain direct exposure to how a CEO evaluates priorities, makes decisions, and operates the business at the highest level.
This opportunity requires a unique blend of executive assistant excellence, project management discipline, and strategic thinking, paired with the judgment and confidence to operate in a fast-paced, high-performance environment.
Key Responsibilities
Executive Leverage & Prioritization
- Serve as a force multiplier for the CEO, ensuring time is allocated to the highest-impact activities
- Ensuring the CEO’s time, meetings, and communications are aligned with the highest priorities
- Support the CEO in enabling the broader team to execute effectively and deliver on priorities
- Anticipate upcoming needs and proactively prepare the CEO for key decisions and interactions
- Ensure consistent follow-through on commitments, action items, and priorities
Calendar & Time Management
- Own and optimize a complex, global calendar across time zones and stakeholders
- Strategically manage scheduling to balance internal priorities, external visibility, and personal bandwidth
- Proactively identify conflicts, inefficiencies, and opportunities to improve time allocation
- Prepare daily/weekly briefings to ensure the CEO is fully prepared
Inbox & Communication Management
- Manage and triage the CEO’s inbox, ensuring timely, thoughtful responses
- Draft, edit, and send communications on behalf of the CEO when appropriate
- Identify emails requiring attention, escalation, or delegation
- Ensure critical stakeholders receive timely and high-quality responses
Strategic Coordination & Project Management
- Support execution of key initiatives and priorities led by the CEO and senior leadership
- Track progress, deadlines, and deliverables across multiple workstreams
- Coordinate closely with the CEO’s second-in-command and executive team
- Ensure alignment and communication across stakeholders
Executive Insight & Judgment
- Develop a deep understanding of the MMA’s (and thus CEO’s):
- Priorities
- Communication style
- Decision-making patterns
- Proactively surface opportunities, risks, and gaps
- Operate with discretion, sound judgment, and high emotional intelligence

- Communication is timely, polished, and effective

Ideal Candidate Profile
Core Capabilities
- Demonstrated experience supporting senior executives or founders in high-performance environments
- Proven ability to manage complex calendars, inboxes, and priorities at scale
- Strong project management and organizational skills
- Exceptional written and verbal communication
- Strong skills in Microsoft Outlook, Excel, Word and PPT.
- Experience using Asana (or other project management tools) including project set up, templates, rules and workflows (not just task lists)
- Curious about new technology and tools, and ready to join an AI-forward company
