Job Description

Responsibilities

  • Coordinate daily with Event & Production Marketing Sr Manager to prioritize tasks, provide follow-up and reminders on action items, take detailed meeting notes, print internal requests, and distribute to appropriate parties.
  • Manage department calendar, department Procurify purchases, schedule meetings, and project milestones.
  • Prepare physical assets, sets, crew schedules, and swag for VIP studio tours.
  • Track all display assets for in-house marketing use, and coordinate necessary repairs with relevant marketing team members and archivists.
  • Track graphics, AV, and copy updates for exhibitions.
  • Prepare puppets and handle set crate moving/opening/prepping to travel.
  • Travel for exhibitions and events, participate in load-in/load-out, and act as a brand ambassador when attending off-site events; manage small install teams as needed.
  • Assist with on stage marketing content production, both live action and animation.
  • Work across concurrent projects to manage external partnerships and track data flow, project management updates, and shipping logistics.
  • Partner with Archive department to assist in identifying appropriate assets for a wide range of use, both internally and externally.

Requirements

  • 2-3+ years’ experience with events and/or marketing; entertainment industry experience preferred.
  • Proficient with MS Suite and Adobe Creative Suite.
  • Experience with Air Table, Google docs, and ShotGrid.
  • Strong planning, time management, and organizational skills with meticulous attention to detail.
  • Demonstrated ability to prioritize, including coordinating across multiple projects running concurrently, able to work well under pressure while meeting tight deadlines (e.g., live events).
  • Excellent interpersonal skills with the ability to communicate and interact with all internal departments and external agencies.
  • Ability to use discretion, sound judgment, and maintain confidentiality at all times.
  • Strong written and verbal communication skills.
  • Ability to work individually and as part of a team.
  • Ability to use small power tools.
  • Ability to travel, both domestically and internationally, for exhibition and event installations.
