Invicta Software is seeking a detail-oriented and customer-focused Email Response Specialist to join our dynamic team. This role is essential in maintaining strong communication with our clients and ensuring timely, accurate, and professional responses to their inquiries.

As an Email Response Specialist, you will be the frontline representative of our company’s commitment to exceptional customer service, helping to build trust and satisfaction through clear and effective email communication.

Key Objectives

  • Manage and respond promptly to incoming email inquiries from customers and partners.

  • Provide accurate information and resolve issues efficiently to enhance customer experience.

  • Collaborate with internal teams to escalate and address complex concerns.

  • Maintain consistent tone and messaging aligned with Invicta Software’s brand values.

Responsibilities

  • Monitor and prioritize incoming emails to ensure timely responses.

  • Draft clear, concise, and professional email replies tailored to customer needs.

  • Identify opportunities to improve communication processes and contribute feedback to the team.

  • Document and track customer interactions and resolutions in the company’s CRM system.

  • Work closely with support, sales, and product teams to provide accurate information and resolve inquiries.

  • Maintain up-to-date knowledge of company products, services, and policies.

  • Handle sensitive or escalated emails with discretion and professionalism.

Requirements

  • Proven experience in customer service, email support, or a related communication role.

  • Excellent written communication skills with strong attention to detail.

  • Ability to manage multiple priorities and maintain a high level of organization.

  • Familiarity with CRM software and email management tools is a plus.

  • Strong problem-solving skills and the ability to work independently.

  • Positive attitude and a commitment to delivering quality customer experiences.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • Experience in a technology or software environment is advantageous.

  • Proficiency in English (US) with excellent grammar and spelling.
