Job Description

Job Summary
We are seeking a dynamic and strategic Director of Admissions to lead our institution’s resident recruitment and enrollment efforts. In this pivotal role, you will oversee the entire admissions process, from developing outreach strategies to guiding prospective residents through their application journey. Your leadership will ensure a seamless, engaging experience for applicants while aligning recruitment initiatives with the institution’s mission and goals. The ideal candidate is passionate about long term care, possesses excellent communication skills, and has a proven track record in long term care.

To assure that Stoddard’s entities are maintained at maximum capacity through assessment and admission of residents in an efficient manner; facilitation of transfer of residents from the community; acute care setting, or other skilled nursing facilities to Stoddard’s nursing homes.

To assure continuance of quality care during the transfer process through assessment of clinical needs of potential residents, and through recommendations on care issues that will make the admission process feasible for the family, residents, and health care professionals.

Create and maintain a positive rapport with the community and other health care providers.

I. JOB FUNCTIONS:

1. Conducts daily hospital rounds and interacts with the Discharge Planners and other designated hospital staff to facilitate resident admissions to Stoddard’s entities in a timely manner.

2. Follow purchase procedures regarding control spending, purchase orders, check requests, billing, and payment issues as related to the Admissions Department.

3. Responds to telephone inquiries in a professional, courteous and friendly manner.

4. Reviews all appropriate patient documentation with focus on the social, psychological, medical, physical, emotional, family history, nurses’ notes, and documents pertinent details on the pre-admission assessment form.

5. Review laboratory data and discuss concerns with physicians, Director of Nursing, or designee, Social Worker, if necessary, prior to completing the admission process.

6. Utilizes all appropriate electronic technology to communicate with personnel of Stoddard entities, to expedite the transfers and admissions to of residents from the community; acute care settings; or skilled nursing home.

7. Ensures data that is entered into the Common Working File is accurate with focus on the resident’s face sheets.

8. Submits all required monthly Admissions Department reports to vendors and the Executive Clinical Director, as required.

9. Confer with appropriate nursing home personnel regarding significant concerns of potential resident admissions.

10. Develop and maintain a cohesive working rapport with inter-department personnel, as well as other staff within Stoddard entities.

11. Conducts nursing assessments and updates documentation, as required, for hospitalized residents returning to Stoddard’s entities.

12. Participate in the Continuous Quality Improvement initiatives by recommending opportunities for improvement of employee’s customer service skills to enhance resident care and promoting customer satisfaction, identifying customer’s needs and expectations in a manner that will promote hospitality and compassion.

13. Works with the Marketing Specialist/Community Liaison in actively promoting Stoddard entities as quality long-term care, and skilled nursing facilities.

14. Maintain open two-way communication with the Executive Clinical Director, Administrators, Directors of Nursing, Admissions Coordinators and other personnel of Stoddard entities to enhance the process of resident transfers and admissions.

15. Ensure that all communication from healthcare professionals concerning patient referrals and admissions are well documented prior to the resident’s admission.

16. Foster a professional and positive working relationship with all employees of Stoddard entities and the community.

17. Maintain confidentiality with all records.

18. Accepts other related duties and responsibilities that may be necessary to ensure the needs of Stoddard’s entities are met.

COMMITTEE FUNCTIONS:

1. Attend Admissions Department meetings with the Executive Clinical Director, as required.

2. Serves as a member of the Ethics Committee in the absence of the Executive Clinical Director.

SUPERVISORY RESPONSIBILITY:

1. Provides supervision of:

PERSONNEL FUNCTIONS:

1. Maintain current professional license.

2. Maintain current health record and annual Influenza vaccine.

3. Maintain current CPR certification.

STAFF DEVELOPMENT:

1. Participates in Admissions Department Continuous Quality Improvement Program.

2. Attend and participate in appropriate seminars / in-services to keep abreast of current trend changes in the long term care industry.

SAFETY AND SANITATION:

1. Reports all unsafe hazardous conditions, defective equipment and incidents observed to appropriate personnel.

VII. EQUIPMENT AND SUPPLY FUNCTIONS:

1. Makes recommendations for availability of supplies and equipment to manage the department.

VIII. BUDGET AND PLANNING FUNCTIONS:

1. Assist the Executive Clinical Director in preparation and monitoring of the Admissions Department annual budget to meet set deadlines by the Finance Department for review and/or approval.

IX. RESIDENT RIGHTS:

1. Maintain confidentiality of all resident information.

2. Ensure that the resident’s rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, including the rights to wage complaints, are well established and maintained at all times.

1. Bachelors of Science in Nursing

EXPERIENCE:

1. Minimum of two years of experience in a similar position in a hospital or long term care facility.

2. Experience in the nursing process, i.e., assessment, case management, planning, implementation and evaluation of resident care.

3. Skills in marketing services of the facility to agencies, organizations and community.

4. Knowledge of community resources and services relative to elderly affairs.

SPECIFIC REQUIREMENTS:

1. A District of Columbia current RN License.

2. Ability to communicate both verbally and in writing.

3. Ability to interact with residents, family members, staff and visitors in a professional, compassionate and diplomatic manner.

4. Knowledge of health care system, Medicare, Medicaid, discharge planning, available community resources and a working knowledge of long-term care regulations.

5. Knowledge of family and group dynamics.

6. Ability to display a sense of empathy and attentiveness.

PHYSICAL AND SENSORY REQUIREMENTS:

1. Must be able to move intermittently throughout the work day, travel to hospitals and other health care facilities extensively.

2. Must be able to speak and document the English language in an understandable manner.

3. Must be able to cope with the mental and emotional stress of the position.

4. Must possess sight/hearing senses or use prosthetics that will enable the senses to function adequately so the requirements of the position can be fully met.

5. Must function independently, have flexibility, personal integrity and the ability to work effectively with residents, personnel and staff in hospitals/other health care facilities in the community.

6. Must be in good health and demonstrate emotional stability.

7. Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times, hostile people within the facilities.

8. Must be able to lift and move office equipment, etc., in excess of (30) pounds.

9. Must be able to assist in the evacuation of residents.

Pay: $89,000.00 - $94,000.00 per year
