ABOUT THIS ROLE:
The Development & Marketing Assistant plays a vital role in advancing the mission of the Crisis Center for South Suburbia (CCSS) by supporting fundraising, donor engagement, and marketing initiatives. This position provides essential administrative, data, and operational support to the Development Department while contributing to strategic communications efforts that elevate the agency’s visibility and impact.
This role is responsible for maintaining the integrity and strategic use of the donor database, generating data-driven insights to inform fundraising strategy, and ensuring timely and meaningful donor stewardship. In addition, the Development & Marketing Assistant supports marketing initiatives through social media content creation, storytelling, and communications aligned with CCSS’s mission.
The ideal candidate is highly organized, detail-oriented, and analytical, with strong communication skills and a passion for supporting a culture of philanthropy through both data and storytelling.
Schedule: M-F 8AM-4PM / occasional weekends and evenings

Job Description:
Development Operations & Data Management
  • Maintain and manage the donor database with a high level of accuracy and integrity
  • Enter and process all monetary and in-kind contributions in accordance with agency policies and timelines
  • Generate weekly, monthly, and quarterly reports for Development, Finance, and Executive Leadership
  • Analyze donor data to identify trends, opportunities for engagement, and areas for growth
  • Perform routine database maintenance to ensure data quality and performance
  • Reconcile revenue in collaboration with the Finance Department
  • Maintain strict confidentiality of donor and financial information
Donor Stewardship & Administrative Support
  • Prepare and execute timely, accurate donor acknowledgements in alignment with stewardship standards
  • Oversee the preparation and distribution of new donor welcome materials
  • Manage and automate donor journeys within the CRM
  • Support donor cultivation through research, profile development, and reporting
  • Assist with donor recognition initiatives and special projects
  • Coordinate and execute fundraising mailings, including list generation, mail merges, fulfillment, and tracking
  • Serve as liaison for bulk mail processes and external vendors
  • Support volunteer engagement related to donor appreciation efforts
Marketing & Communications Support
  • Assist in the development and execution of social media strategy aligned with fundraising and program goals
  • Create and schedule engaging content across social media platforms to increase visibility and donor engagement
  • Support the development of marketing materials, including appeals, newsletters, and digital communications
  • Collaborate with team members to ensure consistent messaging and brand alignment
  • Contribute to storytelling efforts that highlight program impact and donor engagement
Special Events & Community Engagement
  • Support planning, logistics, and execution of fundraising events
  • Generate reports and materials needed for event planning and follow-up
  • Assist with solicitation of in-kind and monetary donations
  • Coordinate event-related mailings, printing, and supply organization
  • Represent CCSS at events and provide on-site support
  • Serve as a point of contact for community donation drives and in-kind contributions
  • Support holiday drives and adopt-a-family initiatives
  • Maintain donation wish lists
Administrative & Operational Support
  • Prepare weekly reports and participate in team and staff meetings
  • Maintain development office supplies and materials
  • Manage incoming mail, including sorting, processing donations, and routing invoices
  • Maintain internal tracking tools, including soft credits, contribution logs, and gift card records
  • Manage gift receipts and year-end donor statements
  • Perform additional duties as assigned to support departmental and organizational goals
Qualifications
  • Bachelor’s Degree required
  • 1–3 years of experience in marketing, communications, development, or nonprofit work preferred
  • Experience with social media platforms and digital marketing
  • Experience with donor databases or CRM systems (e.g., Bloomerang, Salesforce) preferred
  • Experience with website management or content management systems (e.g., WordPress, Elementor) preferred
  • Graphic design experience with Canva and/or Adobe Creative Suite (InDesign, Photoshop, Illustrator) preferred
  • 40-hour Domestic Violence Training preferred (or willingness to complete upon hire)
  • Valid driver’s license required
Knowledge, Skills, & Abilities
  • Strong written and verbal communication skills required
  • Ability to analyze data, identify trends, and make strategic recommendations
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities
  • Ability to work both independently and collaboratively in a team environment

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) required
