College of Law
Assists in the management, administrative direction, and coordination of staff and activities for the law school's Office of Development & Alumni Affairs. Participates in strategic planning, staffing decisions, and calendar planning. Responsible for identifying, recruiting, and onboarding multiple administrative employees, as well as management of employee schedules and staffing requirements for the Office of Development & Alumni Affairs. Supervises the Administrative Assistant and multiple OPS office staff. Hires, trains, and supervises approximately 40 OPS law student Phonathon callers per semester. Recommends and implements departmental priorities. Analyzes and makes decisions on office operation needs to include staffing, workflow, equipment, and materials. Ensures office organization and maintenance. Serves as backup in absence of Director.
Oversees and manages in-house alumni database, Raiser's Edge. Coordinates data collection/research. Ensures accuracy and timeliness of data entry. Plans and assigns updating and clean-up projects. Provides database guidance and training for Raiser's Edge and the FSU Foundation's Blackbaud CRM. Creates, maintains, and reviews processes and procedures. Sets up queries and exports of information in database to meet the needs of the Office of Development & Alumni Affairs, faculty, staff, and alumni. Ensures changes to alumni records/information are distributed to other College of Law and FSU departments. Manges the resolution of returned postal mail, undeliverable e-mails, and out-of-service phone numbers. Maintains records and reports on matters related to the Office of Development & Alumni Affairs.
Assists Director of Alumni Outreach and Engagement in planning, development, and execution of all alumni and fundraising activities for the College of Law. Plans various aspects of multiple high-profile events, including Homecoming tailgate, Homecoming alumni reception, 50-Year Alumni Brunch, Alumni Association Board of Directors meetings and annual recognition event for Student Giveback Campaign. Oversees and/or coordinates event logistics, including room/space/location identification, vendor selection, contracting, invitations, menus, RSVPs, materials preparation, and special accommodations. Attends and ensures adequate staffing of programs/events.
Oversees coordination of departmental information and services - internal and external contacts as well as mail, telephone, and e-mail communications. Works with executive-level administrators, faculty, and staff within the law school and with external departments, alumni, vendors, and community members. Reviews departmental publications, materials, and correspondence prior to production/distribution.
Performs additional duties as required to ensure the smooth operations of the Office of Development & Alumni Affairs. Any other responsibilities as assigned by the Director of Alumni Outreach and Engagement.
This position coordinates alumni relations and annual giving activities of the College of Law by managing and directing designated functions for the law school's Office of Development & Alumni Affairs.
Bachelor's degree and two years of experience; or a high school diploma/equivalent and six years of relevant experience. (Note: a combination of post high school education and experience equal to six years.)
