Job Description

Corporate Ink - a virtual, people-first and fast moving PR agency - is seeking an experiencedhands-on Financial Operations Leadto own and execute the company’s day-to-day financial operations. This is a contract or fractional position.

This is a high-ownership, individual contributor role that works directly with the CEO. You will be responsible for ensuring the financial backbone of the business runs smoothly, accurately, and on time — while identifying opportunities to improve systems and processes. We are looking for someone who can lead through execution, operate independently, and bring structure, consistency, and accountability to core financial workflows.

This role can be expanded to include additional operational responsibilities for the right person.

Key Responsibilities

Financial Operations

  • Manage multi-state payroll, ensuring accuracy, timeliness, and compliance (we use Intuit)
  • Own bookkeeping and financial management in QuickBooks, including:
  • Month-end close, financial statements and ongoing reconciliation and reporting
  • Oversee invoicing and Accounts Receivable (retainer-based model; ensure consistency, follow-through and timely payments)
  • Manage Accounts Payable, including vendor coordination and payment execution
  • Maintain clean, organized, and reliable financial systems and records
  • Manage benefits enrollment as part of payroll

Vendor & Stakeholder Management

  • Serve as the primary point of contact for financial and operational partners, including:
  • CPA / tax firm
  • Benefits providers
  • 401(k) administrators
  • Other financial vendors
  • Ensure timely communication, coordination, and follow-through across all parties

Budgeting & Financial Visibility

  • Track performance against budget and provide clear, actionable visibility into financials
  • Support leadership with basic forecasting, planning, and financial organization
  • Manage sales compensation
Optional Expanded Scope (Based on Experience)

For candidates with broader operational experience, the role may expand to include:

  • HR Operations
  • Employee onboarding and offboarding
  • Recruiting coordination and interview process support
  • Formalizing and improving HR processes
  • Culture support

Leadership Operations Support

  • Supporting key operational workflows
  • Driving follow-through on internal priorities and initiatives
  • Research and administrative support
Qualifications
  • Proven experience managing finance and/or operations for a small business, agency, or startup
  • Strong hands-on experience with:
  • QuickBooks
  • Payroll administration (multi-state preferred)
  • Core accounting processes (AP/AR, month-end close)
  • Demonstrated ability to operate independently and take full ownership of a function
  • Highly organized with strong attention to detail and follow-through
  • Ability to manage multiple priorities and maintain consistent execution without oversight
  • Strong communication skills and experience working with external vendors and partners
  • Accuracy, confidentiality and accountability
Role Structure
  • Remote contractor
  • 8–10 hours/week focused on financial operations, split across two consistent days.
  • Up to ~15 hours/week if expanded into HR and operational support
  • Fully remote; must be able to operate effectively during standard U.S. business hours
