Hours: Monday-Friday 9:00 AM- 12:00 PM, Saturdays 9:00 AM - 3:00 PM; Total Weekly Hours: 21

Position Overview

The Hospitality Communications Team Member plays a key role in delivering the elevated client experience that defines CONTŌR. This position is responsible for managing all client communications with efficiency, warmth, and professionalism, ensuring every interaction reflects our commitment to exceptional hospitality and personalized care.

Key Responsibilities

• Manage all incoming and outgoing client communications via phone and text, ensuring timely and professional responses at all times
• Answer phone calls within 2 rings and respond to text messages within 3 minutes during business hours
• Coordinate all aspects of client bookings, including scheduling, rescheduling, and cancellations
• Provide accurate, knowledgeable, and friendly responses to client inquiries regarding services, products, and overall experience
• Deliver a consistently high level of hospitality, ensuring every client feels welcomed, valued, and supported
• Maintain detailed and up-to-date records of client interactions, appointment updates, and communication notes within booking and communication systems
• Accurately update client personal notes with relevant information to support continuity of care and a personalized client experience
• Adhere to CONTŌR communication protocols, including tone, style, and etiquette, to maintain a cohesive and on-brand voice
• Proactively communicate with clients when needed, including appointment confirmations, reminders, and post-visit follow-ups
• Identify, escalate, and assist in resolving client concerns, special requests, or service issues in a timely and professional manner
• Collaborate closely with internal teams to communicate client updates, concerns, and operational needs
• Handle all client information with the highest level of confidentiality, discretion, and professionalism
• Support communication initiatives related to events, service updates, and promotional offerings as directed by leadership



Qualifications & Skills

• Strong communication skills with a polished, professional, and friendly/warm demeanor
• Exceptional attention to detail and organizational skills
• Ability to multitask and manage high-volume communication efficiently
• Customer service or hospitality experience preferred
• Strong problem-solving skills and ability to remain calm under pressure
