Job Description
Job Title: Front Office Administrator
Location: Montessori Reggio Academy – Sugar Land Campus
Schedule:
- 12:00 PM to 6:30 PM
Position Summary:
Montessori Reggio Academy is seeking a professional, organized, and personable Front Office Administrator to join our team at our Sugar Land campus. This role is vital to maintaining daily operations, parent communication, and compliance with state regulations. The ideal candidate is warm, detail-oriented, able to multi-task in a fast-paced environment, and demonstrates strong leadership, critical thinking, and communication skills.
We prefer candidates with experience in early childhood education or independent/private school administration, especially those familiar with preschool and lower elementary programs.
Key Responsibilities:Operations & Administration
- Oversee day-to-day front office operations with professionalism and efficiency.
- Greet and assist parents, visitors, and staff with courtesy and warmth.
- Manage incoming calls, voicemails, and emails promptly and appropriately.
- Maintain accurate records of student attendance, enrollment, immunizations, incident reports, and CRM data.
- Prepare and maintain administrative and billing reports, including fee collection and late payment follow-ups.
- Run payroll reports and verify accuracy.
- Maintain supply inventory and ensure materials are safe and in working condition.
Staff Management & Scheduling
- Assist in classroom staffing, manage daily schedules, and ensure staff-to-child ratio compliance.
- Review and coordinate staff time-off requests with coverage planning.
- Track staff training hours and required certifications per Texas Child Care Licensing standards.
- Support staff performance through coaching and communication.
- Maintain updated knowledge of minimum standards and ensure site compliance.
Compliance & Licensing
- Ensure all center operations are in full compliance with state, local, and federal child care regulations.
- Maintain training, safety, and audit readiness documentation.
- Conduct classroom walkthroughs to ensure curriculum and operational consistency.
Family & Community Engagement
- Schedule and conduct school tours for prospective families.
- Communicate with parents regarding student progress, policy updates, and center activities.
- Assist with special events, marketing efforts, fundraising, and community outreach.
- Manage workforce/childcare subsidy accounts and ensure accuracy of parent co-pays.
Additional Duties
- Coordinate and help organize field trips and on-campus events.
- Support annual budget planning and financial tracking in collaboration with school leadership.
- Perform other duties as assigned by the Director or Owner.
Qualifications:
- Experience in a preschool, early childhood, or elementary school setting preferred.
- Knowledge of Texas Child Care Licensing guidelines is required.
- Excellent communication and interpersonal skills.
- Strong organizational skills with attention to detail.
- Proficiency in Microsoft Office, CRM systems, and billing platforms.
- CPR/First Aid certification (or willingness to obtain).
- Ability to multitask and remain calm and professional in a busy school environment.
