Airtable & Zapier Solutions Architect (CRM Build & Data Migration)
About the Role
We are launching a major fundraising and sustainer campaign on August 1st and need a talented low-code developer to build our backend infrastructure. We are building a centralized CRM, donor management ledger, and grant tracking system inside Airtable, connected to Fundraise Up via Zapier.
You will also lead the consolidation and migration of our legacy donor data from distributed spreadsheets and Google systems into this new relational infrastructure.
To protect our fundraising deadline, the project is structured in three phases, allowing our team to launch public-facing campaigns while automation and historical data migration are finalized in the background.
Core Responsibilities
- Infrastructure Design: Build a relational Airtable CRM architecture capable of managing contacts, multi-designation donation splits, financial GL codes, and grant pipelines.
- Pipeline Automation: Build reliable multi-step Zapier workflows utilizing webhooks and line-item looping utilities to parse transaction arrays from Fundraise Up.
- Legacy Data Migration: Audit, clean, deduplicate, and structurally map historical donor data from disparate spreadsheets into the new Airtable database without disrupting live workflows.
- Documentation & Training: Deliver system data maps, a technical troubleshooting matrix for staff, and a recorded training session.
Technical Stack
- Airtable (Advanced relational schema, Interfaces, native Automations)
- Zapier (Professional Plan, Looping/Line-Item Utilities, Webhooks)
- Fundraise Up (Checkout widgets, Peer-to-Peer portals)
Required Experience
- Proven track record building complex relational structures in Airtable.
- Advanced Zapier skills, specifically managing line-item arrays and data loops.
- Demonstrated experience handling messy data migrations (CSV mapping, deduplication, lookup matching).
- Prior experience with non-profit fundraising tools or financial GL structures is highly preferred.
Engagement Details & Compensation
- Hourly Rate: $150.00 – $175.00 per hour (depending on experience).
- Expected Volume: 10 to 15 hours per week.
- Project Duration: 6 to 7 weeks.
- Total Project Allocation: 65 to 90 billable hours.
- Target Project Budget: $10,000 – $15,750 (with an internal cap of $20,000 to accommodate data-cleaning contingencies).
