Job Summary

Own and coordinate end-to-end event programs with a focus on healthcare compliance, cost control, and cross-team execution for live and virtual formats.

  • Event operations: plan venue, contracts, travel, F&B, AV, room setup, and vendor management.
  • Compliance and finance: handle Sunshine Act reporting, attendee spend tracking, and invoice reconciliations.
  • Coordination and scope: align with internal teams, manage timelines, transportation, and ongoing program communication.

Job Description

Responsibilities

  • Coordinate all program logistics for live and virtual events including venue selection, contracts, travel, F&B, room setup, AV, and on-site management.
  • Manage audience generation and attendee data, including Sunshine Act reporting.
  • Process healthcare professional payments and vendor invoices.
  • Track attendee spend reports to comply with Sunshine Act guidelines.
  • Reconcile final invoices and pass-through costs within mandated timelines.
  • Update templates and materials and distribute to attendees per timelines and client standards.
  • Arrange outsourced ground transportation and maintain accurate arrival/departure manifests.
  • Coordinate with internal departments to ensure timely planning.
  • Maintain ongoing dialogue with manager and project team to monitor scope and respond to changes.
  • Maintain minimum billable utilization and be available outside standard hours.

Requirements

  • 4-year college degree
  • Minimum 2-3 years meeting planning experience
  • CMP Certification preferred, but not required
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Experience with Cvent (online event registration management system)
  • Experience executing virtual meetings using Zoom, WebEx, Adobe Connect, On24, GoToMeeting
  • Knowledge of hotel, air travel, and event planning industry
  • Strong accounting and negotiation skills
  • Ability to work independently and manage multiple projects
  • Experience and ability to travel to meetings in the US and internationally

Preferred

  • CMP Certification preferred, but not required
