Job Summary

Own end-to-end program operations across venues, vendors, and internal partners with tight governance, budgets, and timelines.

  • Program Execution & Governance: manage sourcing, contracting, budgets, payments, timelines, and stakeholder communications.
  • Cross-Functional Collaboration: align internal teams, venues, vendors, and partners with proactive issue- spotting and clear updates.
  • People & Risk Oversight: mentor direct reports, prioritize work, and anticipate needs, with evening/weekend coverage as required.

Job Description

  • You will help lead the day-to-day management of programs across internal stakeholders, venues, vendors, and partners, bringing structure, clarity, and strong follow-through to complex workflows.
  • You will oversee key components of programs, including research, sourcing, vendor and venue management, contracting, payments, budgets, timelines, and communication.
  • The behind the scenes role requires someone who is proactive, persistent, solution-oriented, and comfortable working across a range of priorities.
  • Reporting to the Director, you will support programs from planning through completion, ensuring timelines, next steps, approvals, and deliverables that are clearly managed.
  • You will help anticipate needs, surface issues early, and keep stakeholders aligned through clear communication and strong follow-through.
  • You will also provide day-to-day guidance and support to direct report(s), including prioritization, training, mentoring, and general oversight.
  • Evening and weekend work will be required based on program needs.
  • Program Management & Leadership. You will manage programs with a strong sense of ownership, ensuring timelines, deliverables, approvals, and next steps that are clearly managed and communicated. You are highly organized, proactive, and able to bring structure to complex workflows while balancing multiple priorities at once. You anticipate needs, identify potential issues early, and follow through with practical solutions.
  • Research, Sourcing & Recommendations. You bring strong research and sourcing capability across venues, vendors, and partners, identifying options that align with program needs, budgets, timelines, and stakeholder expectations. You develop clear, well-supported recommendations that help advance decision-making and are confident presenting to internal and client stakeholders. Familiarity with venue sourcing, catering, hospitality, permitting and vendor management is valuable in this role.
  • Negotiation, Contracting, Payments & Budget Awareness. You have experience negotiating, contracting, purchase orders, invoices, permit procurement, vendor setup and compliance, payments, and budget tracking. You are detail-oriented and comfortable managing process-heavy work with accuracy, discretion, and accountability. You understand the importance of working within assigned budgets while keeping stakeholders informed of relevant updates, deadlines, and requirements.
  • Cross-Functional Collaboration & Communication. You serve as a liaison across internal teams, venues, vendors, and partners, ensuring alignment on priorities, roles, timing, and responsibilities. You adapt your communication style to different stakeholders and are able to work effectively with a range of personalities. You bring a collaborative and approachable style while maintaining clarity, professionalism, and follow-through.
  • People Management & Problem Solving. You provide day-to-day guidance, support, training, and mentoring to team members. You are comfortable helping prioritize work, offering direction, and creating clarity when needs evolve. You proactively surface issues, propose solutions, and know when to escalate or push for decisions in order to protect the quality and efficiency of the work.
