Job Summary

Support data integrity, information management, and business operations by organizing databases, standardizing records, and enabling efficient research and administrative workflows.

  • Data & Database Management: Maintain databases and ensure accuracy while standardizing records for long-term accessibility.
  • Research & Admin Support: Conduct targeted research, compile information for business development, and keep projects on track.
  • Process Improvement & Digital Tools: Organize templates, explore AI-driven workflow tools, and support archiving/records management.

Job Description

Responsibilities

  • Data & Database Management: Maintain, update, and verify internal databases for accuracy and consistency.
  • Organize and standardize records for improved usability and long-term accessibility.
  • Marketing Research Support: Conduct targeted research on clients, projects, and market trends.
  • Compile and synthesize information to support business development efforts.
  • Administrative & Operational Support: Provide general administrative assistance to support ongoing projects.
  • Help ensure tasks stay on track and deadlines are met.
  • Process Improvement & Digital Tools: Assist in developing and organizing template libraries.
  • Support process improvements, including exploration of AI tools to streamline workflows.
  • SPECIFIC TASKS MAY INCLUDE: Populating and maintaining CRM spreadsheets for business development tracking
  • Researching and consolidating project data (e.g., construction dates, costs, images, and key details)
  • Supporting the development and organization of a centralized templates database
  • Assisting with the creation of AI-driven tools or agents to improve efficiency
  • Aiding in project archiving and records management processes

Requirements

  • Currently pursuing a degree in Marketing, Library Science, Communications, or a related field
  • Strong attention to detail with a commitment to producing accurate work
  • Highly organized and able to manage repetitive tasks efficiently
  • Self-motivated and capable of working both independently and within a team
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office tools (Excel, Word, etc.) and familiarity with SharePoint or similar platforms

Preferred

  • Interest in data organization, knowledge management, or information systems
  • Curiosity about how AI and automation can improve workflows
  • Ability to work methodically while maintaining productivity
