Job Description

Responsibilities

  • Lead a team across service lines including reprographics, mail, intake, hospitality, facilities, AV, reception, expense processing, and other back-office functions to deliver outstanding client service.
  • Manage time and absence data for direct reports, ensuring accuracy and policy compliance.
  • Communicate with the team, manager, and client on job status and deadlines; escalate issues promptly when needed.
  • Handle client concerns and problem-solve within policies; coordinate intake and delegate workloads to associates.
  • Monitor workflow, oversee quality assurance, ensure on-time delivery, train new staff, and maintain standard operating procedures.

Requirements

  • High school diploma or equivalent.
  • Minimum of 3 years’ experience in office services, preferably in a legal, banking, or large corporate environment.
  • Experience leading employees in process/policy adherence and time/absence tracking.
  • Organized workflow management to meet rapid, simultaneous deadlines.
  • Intermediate computer skills (MS Office); familiarity with procedures, software, and equipment relevant to service lines.
  • Ability to build professional relationships with clients and team members through strong verbal and written communication.
  • Attention to detail, accuracy, and quality; ability to handle confidential documents.
  • Demonstrated professionalism, ethical conduct, and composure in customer interactions.
  • Ability to make independent decisions, solve problems, and escalate when appropriate.
  • Excellent problem-solving skills and judgment for escalation to supervisory levels as needed.
  • Ability to work with diverse teams in a fast-paced environment and show self-motivation with a positive attitude.
  • Must be able to lift up to 50 lbs on a regular basis.
