Job Description

Responsibilities

  • Own the full lifecycle of speaker management for Unify events from outreach through day-of support.
  • Serve as the primary point of contact for 70+ speakers, handling communications, logistics, content deadlines, and AV/tech testing onsite.
  • Build and maintain speaker databases and contact tracking, and close post-event feedback loops.
  • Coordinate scheduling and resolve conflicts across a multi-speaker program proactively and diplomatically.
  • Manage on-site speaker operations including check-in, green room, timing cues, and AV handoffs during sessions.
  • Collaborate with content, design, and executive stakeholders to align speaker narratives with campaign themes and event messaging.
  • Prepare speaker-facing content such as invitations, reminder emails, prep materials, run-of-show details, talking points, and prompts.
  • Ensure speaker bios, quotes, and session descriptions are accurate and ready for the website, program guide, and promos.
  • Develop presentation materials, speaker guides, and briefing documents to help presenters stay on message.
  • Draft and polish supporting event content including emails, presentations, and program guides with consistent brand voice and quality.

Requirements

  • Experience in marketing, communications, events, or related fields including internships, coursework, or project work.
  • Demonstrated ability to manage many concurrent relationships and deadlines with strong organizational rigor.
  • Excellent written and verbal communication skills with attention to detail; comfortable interacting with executives, analysts, press, and external speakers.
  • Proficiency in Google Workspace, Slack, and PowerPoint/Slides; ability to develop professional presentations; familiarity with Asana is a plus.
  • A proactive self-starter with a can-do attitude and strong collaborative skills.
  • Ability to stay calm under event-day pressure with a remote-first, async communication mindset.
  • Willingness to travel to Alliance events and work on-site, including occasional evenings and weekends.

Preferred
