Job Summary

Tier 2/3 event ops lead building end-to-end event programs, owning timelines, logistics and on-site execution across multiple shows.

Job Description

Responsibilities

  • Event Strategy & Program Management.
  • Lead the planning, execution, and operational management of Tier 2 and Tier 3 tradeshows and event programs, serving as the primary operational lead responsible for managing timelines, logistics, priorities, and execution across multiple concurrent events to support brand awareness, customer engagement, and business objectives.
  • Support the planning and execution of Tier 1 tradeshows, conferences, and other marketing events.
  • Allocate approximately 75% of time to tradeshow management and 25% to broader event and marketing initiatives.
  • Coordinate speaker logistics, including scheduling, travel arrangements, and presentation deadlines.
  • Manage event logistics, including transportation, booth operations, inventory allocation, fulfillment, shipping, and onsite readiness.
  • Evaluate event requirements and recommend operational strategies, vendors, and process improvements to enhance efficiency, attendee experience, and program effectiveness.
  • Vendor Logistics Management
  • Manage relationships with event vendors, fulfillment partners, shipping providers, venues, and other external stakeholders to ensure timely delivery and service excellence.
  • Oversee tradeshow asset management, including booth materials, demo equipment, signage, marketing collateral, and inventory utilization across multiple events.
  • Direct shipment planning, tracking, documentation, issue resolution, inventory reconciliation, and return coordination while proactively mitigating operational risks.
  • Coordinate travel and accommodations for event staff, speakers, and internal stakeholders.
  • Administrative & Organizational Support
  • Manage event registrations, contracts, compliance requirements, and key deadlines.
  • Maintain organized event documentation, project plans, spend trackers, and operational records within Asana and shared systems.
  • Track event milestones, logistics updates, and program deliverables to ensure successful execution.
  • Provide administrative and operational support to sales and marketing teams as needed.
  • Cross-Functional Collaboration
  • Partner with Marketing, Sales, Product Marketing, Supply Chain, and external stakeholders to align event execution with organizational priorities and customer engagement goals.
  • Facilitate communication across internal teams and vendors to ensure alignment on timelines, deliverables, and operational expectations.

Requirements

  • 2–5 years of experience in event coordination, tradeshow operations, logistics, or related field.
  • Strong organizational skills with exceptional attention to detail.
  • Experience managing multiple projects and deadlines simultaneously.
  • Experience coordinating shipments, inventory, and event logistics.
  • Strong communication and collaboration skills.
  • Proficiency with project management tools (Asana preferred), Microsoft Office, Google Workspace, and AI tools.

Preferred

  • Experience with tradeshow booth asset management or storage vendors.
  • Familiarity with supply chain processes or shipping platforms.
  • Experience tracking budgets and managing spend trackers.
