Job Description

Responsibilities

  • Drive the development of individual event strategies, including determining event format, engagement strategy, and measurement KPIs
  • Ensure events are properly aligned to and in support of business goals.
  • Partner with various business stakeholders through all stages of the event lifecycle to bring the event to life
  • Manage event execution and post-event activities, including equipping Sales teams for follow-ups, organizing debrief sessions with partners, and reporting results
  • Stay current on event trends and make recommendations to evolve the event strategy
  • Develop and maintain a broad knowledge and awareness of the investment and financial services industry
  • Participate in special projects and perform other duties and responsibilities as assigned.

  • Coordinates and leads the logistics for highest profile and/or highly complex meetings and events under minimal direction of marketing, communications, and event planning leaders. Consults with and provides strategic direction to senior leaders in defining event goals, business objectives, and target audiences. Incorporates strong business and industry knowledge into the meeting and events strategy. Assists decision makers in planning and troubleshooting pre-event, day-of event, and post-event. Tracks event budget and discusses with event sponsors and managers as budgetary concerns arise.
  • Supports presenters through on-site and virtual support. May organize and serve as main point of contact for key clients visiting Vanguard offices and conferences. Tracks and communicates post-event reporting and follow-up activities to appropriate parties. Gathers pre- and post-event data for analysis. Consults with leaders to make event-related business decisions using data reports, anecdotes, and industry best practices as appropriate. Implements event plans consistent with marketing and business objectives, contributes to and monitors cost/benefit analyses, and encourages continuous-improvement efforts.
  • Delivers clear, timely, and accurate communications on conference and event status and issues regularly to stakeholders, including leaders, team members, and senior managers. Independently coordinates and proposes solutions to meeting and event issues. Engages and helps lead contingency planning efforts.
  • Assists team with the identification, evaluation, and resolution of meeting and event obstacles. Elevates items of high concern to senior management and recommends courses of action.
  • Constructs clear project plans, agendas, and timelines for a variety crew. May oversee external partners. Applies strong project management skills to prioritize work and lead interdisciplinary teams of crew and external partners.
  • Fosters effective communication and partnership with external partners. Liaises between internal and external partners as needed.
  • Ensures Vanguard protocol is followed throughout any administrative or logistical activities. Surfaces issues to appropriate parties proactively.
  • Coaches less experienced meeting and event planning and communications crew to build team expertise, maximize capacity, and promote the adoption of best practices and emerging technologies in the event planning industry.
  • Participates in special projects and performs other duties as assigned.

Requirements

  • Five years related work experience.
  • Undergraduate degree or equivalent combination of training and experience.
