Job Summary

Owns end to end Creative Services operations from intake to asset delivery, turning high volume workflows into predictable, on time packaging and asset outputs.

  • Creative intake and traffic: manage requests, IDs, templates, and cross functional handoffs to hit deadlines.
  • Workflow and systems: document, refine SOPs, keep the DAM and creative tech stack current, and adopt new tools.
  • Asset governance: lead DAM strategy, asset tagging, rights, and training for quick retrieval and compliant use.

Job Description

Responsibilities

  • Creative intake, traffic, and resourcing : Owns creative project intake, project management, and traffic management, assigns project IDs and templates, partners with the Creative Director to allocate design, copy, and review resources; prioritizes work based on criticality and deadlines, and manages schedules, dashboards, and cross-functional touchpoints to ensure on-time delivery in a high-volume environment
  • Workflow, systems, and operations optimization : Designs, manages, and continuously improves Creative Services workflows, SOPs, and project management processes; analyzes system needs, stays current on relevant technologies, maintains the creative tech stack, and recommends new tools or enhancements
  • DAM strategy and asset management: Leads asset collection, organization, metadata tagging, rights management, formatting, and archiving in the Pharmavite DAM; partners with the Creative Director to define DAM strategy, policies, and procedures; manages permissions, trains users, and supports asset retrieval
  • Quality control, governance, and reviews: Manages proofing process of assets for accuracy and quality prior to final delivery, supports designers and vendors through QC processes, maintains approval and asset archives, and manages monthly cross-functional reviews of updated product packaging with documented visual and written logs
  • Reporting, enablement, and business partnership : Develops and delivers onboarding and training for Creative and cross-functional teams; pulls and analyzes workflow data (capacity, turnaround times, workload, project mix) to enable forecasting; collaborates closely with Business Excellence on communications and active initiatives; manages shared creative supplies and operational needs

Requirements

  • Seven+ years' experience in an in-house creative department (preferred) or external agency, working in Digital Asset Management and Project Management.
  • Knowledge/Skills/Abilities: Proficient Macintosh computer skills, knowledge of PC environment
  • Knowledge/Skills/Abilities: Proficient in Adobe Creative Suite, Microsoft Office, and DAM software operation
  • Knowledge/Skills/Abilities: Demonstrated ability to use AI tools (e.g., Copilot, generative AI, workflow automation) to improve speed, quality, and efficiency across creative and operational tasks
  • Knowledge/Skills/Abilities: Ability to evaluate emerging technologies and integrate them into daily workflows to enhance productivity
  • Knowledge/Skills/Abilities: Adaptability and learning agility, with the ability to quickly adjust to new tools, processes, and shifting priorities in a fast‑moving environment
  • Knowledge/Skills/Abilities: Strong attention to detail
  • Knowledge/Skills/Abilities: Demonstrated ability to communicate clearly, concisely and openly with stakeholders, team members, and vendors on project needs
  • Knowledge/Skills/Abilities: Initiative to continually maximize efficiencies and effect improvements through relationship building and monitoring of process breakdowns
  • Knowledge/Skills/Abilities: Successful track record creating and managing project timelines/traffic for a creative agency or in-house team
  • Knowledge/Skills/Abilities: Proactive mindset toward continuous improvement, experimentation, and evolving ways of working
  • Bachelor’s degree or equivalent preferred
