Wide Format – Prepress & Department Lead

Job Summary

The Wide Format Prepress & Department Lead is responsible for preparing and optimizing files for production while overseeing the day-to-day operations of the wide format department. This role ensures jobs are properly scheduled, materials are available, and production runs efficiently and on time.

This position bridges prepress, production, and scheduling, owning the workflow from file intake through final output, while maintaining high-quality standards and supporting team members across departments.

Responsibilities

Prepress & File Preparation

  • Prepare and preflight files for large format and other print production, ensuring correct size, resolution, bleed, and color profiles.
  • Set up and manage RIP software (Onyx) for proper output across all wide format devices.
  • Troubleshoot and correct file issues prior to production to prevent delays and rework.
  • Maintain organized file structures and adhere to naming and workflow conventions.

Production Oversight & Scheduling

  • Own and manage the daily production schedule for the wide format department.
  • Prioritize jobs based on deadlines, capacity, and client needs in coordination with account managers.
  • Ensure all jobs are properly entered, tracked, and moving through production stages.
  • Balance workload across equipment and team members to maximize efficiency.
  • Identify bottlenecks and proactively adjust schedules to keep production on track.

Materials & Inventory Management

  • Monitor and maintain inventory levels of substrates, inks, laminates, and other supplies.
  • Order materials as needed to support upcoming production schedules and prevent downtime.
  • Coordinate with vendors to ensure timely delivery of critical materials.
  • Optimize material usage to reduce waste and control costs.

Production Support

  • Operate wide format equipment as needed to meet production demands.
  • Step in during high-volume or rush periods to ensure deadlines are met.
  • Support finishing processes such as laminating, cutting, and mounting when required.
  • Assist traditional prepress or other departments when workload demands.

Workflow & Process Improvement

  • Integrate incoming work into Full Sail Media’s workflow system.
  • Ensure seamless transitions between prepress, printing, and finishing.
  • Continuously improve processes to increase efficiency, reduce errors, and lower costs.
  • Help implement and enforce job tracking, scheduling discipline, and time logging.

Collaboration & Communication

  • Work closely with sales, design, and production teams to ensure jobs meet client expectations.
  • Communicate job status, scheduling updates, and potential issues clearly and proactively.
  • Provide technical guidance on file setup, materials, and production methods.

Equipment & Maintenance

  • Perform basic maintenance and calibration of RIP stations and wide format equipment.
  • Ensure machines are operating efficiently and report any service needs promptly.

Work Environment & Standards

  • Maintain a clean, organized, and safe production environment.
  • Adhere to all operational and safety procedures.

Physical Requirements

  • Ability to lift and move materials as needed.
  • Standing for extended periods and performing repetitive tasks.
  • Comfortable working in a fast-paced production environment.

Key Objectives for First 45 Days

  • Fully integrate into Full Sail’s workflow and scheduling systems.
  • Take ownership of the wide format production schedule.
  • Ensure Onyx and file workflows are streamlined across all devices.
  • Establish visibility into material inventory and ordering cadence.
  • Support both prepress and production teams to stabilize and improve output efficiency.

  • Jobs are on time, accurate, and flowing smoothly through production.
  • The department runs with clear scheduling and minimal firefighting.
  • Materials are always available, no downtime due to shortages.
  • Team members are aligned, supported, and productive.
