About the Role

We’re looking for an experienced Website Project Manager who understands the full lifecycle of a website project and can confidently guide projects from onboarding through launch.

This is not an entry-level project management role. We need someone who has already managed website projects in an agency environment and understands the realities of deadlines, revisions, client feedback, shifting priorities, and coordinating multiple team members to keep a project moving.

You’ll oversee the entire website production process, including planning, asset collection, copywriting, design, development, QA, and launch.

This will also be a client-facing role.

While your primary responsibility is keeping website projects organized and moving forward internally, you’ll also communicate directly with clients throughout the project. This may include leading onboarding calls, providing project updates, gathering feedback and approvals, answering website-related questions, communicating delays or next steps, and helping manage client expectations.

We’re looking for someone who is just as comfortable communicating with a client on Zoom or Slack as they are managing a complicated project inside ClickUp.

Most importantly, we need someone who can take ownership and run with things.

We don’t want to micromanage you or give step-by-step instructions for every situation. You should be comfortable working independently, making informed decisions, identifying problems before they become bigger issues, and determining the next step when something isn’t clearly laid out for you.

You’ll have support from the team and leadership, but we want someone who can confidently own their projects and client relationships.

What You’ll Be Responsible For
  • Manage website projects from onboarding through launch
  • Create and maintain project timelines, milestones, dependencies, and deadlines
  • Keep every phase of the website process moving, including planning, asset collection, copywriting, design, development, QA, revisions, and launch
  • Serve as a primary point of contact for website clients throughout their project
  • Lead client onboarding calls and website-related progress calls when needed
  • Communicate with clients through Slack, email, and Zoom
  • Provide proactive project updates so clients understand where their project stands and what happens next
  • Gather client feedback, approvals, assets, and decisions needed to keep projects moving
  • Translate client requests and feedback into clear, actionable direction for the internal team
  • Manage client expectations around timelines, revisions, responsibilities, scope, and deliverables
  • Professionally handle difficult conversations, concerns, delays, or client frustrations when they arise
  • Know when to solve an issue independently and when leadership or another specialist needs to be brought in
  • Coordinate tasks and dependencies across Account Management, Content, Design, Development, and SEO
  • Manage project workflows, deadlines, and assignments within ClickUp
  • Monitor team bandwidth and identify potential bottlenecks
  • Proactively follow up on overdue or blocked deliverables
  • Anticipate project risks and solve problems before they impact timelines or the client experience
  • Ensure deliverables meet our internal standards before moving to the next phase
  • Maintain organized project documentation, client decisions, approvals, and important communication
  • Support a smooth handoff to our SEO or ongoing Client Success teams when applicable
  • Help improve our website workflows, SOPs, and internal processes as the agency grows
What We’re Looking For
  • Proven experience managing website projects in an agency environment
  • Strong understanding of the website design and development process from onboarding through launch
  • Professional experience using ClickUp is required
  • Previous marketing, creative, or website agency experience is required
  • Strong client-facing communication skills
  • Comfortable leading Zoom calls and communicating professionally through Slack and email
  • Able to explain website concepts and processes in a way that clients can easily understand
  • Comfortable managing client expectations and professionally pushing back when necessary
  • Strong ability to mediate problems and remain calm when a project or client situation becomes stressful
  • Extremely organized and comfortable managing multiple website projects at once
  • Proactive and able to recognize what needs to be done without always being told
  • Comfortable working independently with minimal supervision
  • Strong sense of ownership and accountability
  • Excellent cross-team communication and collaboration skills
  • Comfortable holding both clients and internal team members accountable to deadlines
  • Strong problem-solving skills and a solutions-first mindset
  • Working knowledge of SEO and how it fits into the website development process is a strong plus
  • WordPress and Elementor knowledge is highly preferred
  • Experience with GoHighLevel is a plus
  • Experience in medical aesthetics, healthcare, or a related marketing niche is a plus

A successful Website Project Manager at Mavan keeps projects moving without leadership constantly needing to step in.

Website projects stay organized, deadlines and responsibilities are clear, client communication is proactive, and potential roadblocks are identified early rather than after they become a problem.

Clients should feel informed and confident throughout the website process, while the internal team should have the information and direction they need to complete their work efficiently.

Over time, we expect this person to become increasingly independent, take greater ownership over Mavan’s website department, and help us continue improving the way we deliver website projects as the agency grows.

This is a 1099 independent contractor position, and applicants must be based in the United States.
