The Role

We are looking for a senior level Production Accountant to support the Finance Team with the management of advertising shoots and experiential events across the US.

This role is ideal for someone with strong production accounting experience in a fast-paced creative agency/environment.

You will work closely with Producers, the Finance Team and external vendors.

The role will cover pre production through to final wrap - including managing budgets, regular tracking of production spend and completing final reconciliations.

Candidates must have hands-on US production accounting experience and a strong understanding of production workflows, crew/vendor management and cost reporting. Experience with sales tax across multiple states and experiential events is desirable.

Key Responsibilities

Day-to-Day Responsibilities

• Process supplier invoices, in line with agreed Vendor Terms & Conditions
• Ensure invoices are addressed to correct company & payment terms are correct before passing to Accounts Payable for posting
• Ensure all paperwork in place for Vendors, eg W9, COI etc
• Draft weekly Payment Runs
• First point of contact for Producer queries
• Liaise with vendors, freelancers, and production partners regarding invoices and payment queries

Weekly Responsibilities

• Review postings in accounting system Xero, ensuring Job, value and payment dates are correct
• Maintain ongoing Forecast vs ‘approved Client budget’ and ‘Producer’s Budget’, reflecting a Committed and Forecasted position
• Monitor committed costs and proactively flag budget risks or overruns
• Provide weekly Job Reports from Xero for review
• Maintain a cashflow, with Finance Team support, for each Production
• Manage Pleo cards, ensuring Producers are uploading receipts and accurately tagging job, on a weekly basis
• Attend weekly meetings with Producer and Finance Team

Final Reconciliation

• Maintain organized and audit-ready financial documentation throughout each production lifecycle
• Complete the final reconciliation for Client review
• Manage ‘Client friendly’ budget vs Actuals throughout each production
• Maintain Invoice Log that ties into Actuals
• Set up & maintain folder structure for Client to easily retrieve invoices and expense receipts
• Save down all invoices and receipts for Client review, ensuring all financial documents are accurate

Required Experience & Skills

• Proven experience as a senior level Production Accountant for advertising campaigns, managing multiple budgets simultaneously
• Experiential experience is desirable
• Mid/Advanced Excel and spreadsheet management skills
