Overview
We are looking for an experienced part time bookkeeper to manage accounting across three companies in QuickBooks Online. You will be the person who keeps the books accurate, current, and ready for leadership review at any time.
This role also involves reconciling historical receipts, invoices, and transactions from August 2025 through January 2026 as part of your ongoing workload, with no fixed deadline pressure.
We're looking for someone who works independently, catches errors before they become problems, and communicates proactively rather than waiting to be asked. Given direct access to confidential financial data across multiple companies, discretion and integrity are essential.
Schedule
This is an in office position in Los Angeles, CA. The role works a fixed day each week, with the specific day agreed upon at hire and kept consistent going forward. Hours within that day are based on completed workload and tracked accordingly. A second in office day in the same week may be added at the company's discretion when workload requires it, with total in office time capped at 2 days per week.
This is a nonexempt, hourly position. California overtime rules apply for any hours worked beyond 8 in a single day or 40 in a week, and California meal and rest break requirements apply based on actual hours worked.
Approximate hours: 8 to 10 hours per week, based on completed workload.
What We're Looking For
- Review and confirm automated bank feed transactions across all three companies
- Reconcile historical receipts, invoices, and transactions from August 2025 through January 2026
- Complete weekly bank and credit card reconciliations across 7 or more accounts
- Reconcile Bill.com transactions, including vendor bills, invoices, and payments
- Reconcile sales across 6 or more channels, including Shopify, marketplaces, and payment processors, matching fees, refunds, and payouts to bank deposits
- Maintain the general ledger and prepare journal entries for accruals, adjustments, and corrections
Key Responsibilities
Bookkeeping & Reconciliation
- Upload and categorize receipts and transactions for all three companies
- Upload and reconcile historical receipts, invoices, and transactions (Aug 2025–Jan 2026)
- Complete monthly bank and credit card reconciliations
- Reconcile Bill.com transactions, including vendor bills, invoices, and payments
- Reconcile sales across multiple channels, including Shopify, marketplaces, and payment processors
- Ensure sales, fees, refunds, and payouts are accurately recorded and matched to bank deposits
- Maintain accurate and current general ledger
- Perform journal entries (J/E) as needed (accruals, adjustments, corrections)
Financial Reporting & Oversight
- Review weekly QuickBooks generated financial reports for accuracy, including Profit and Loss, Balance Sheet, Cash Flow, and General Ledger
- Write variance commentary and flag anomalies for leadership
- Maintain budget spreadsheets and flag variances against actuals
- Monitor the balance sheet for accuracy and provide ongoing visibility into cash flow trends
- Proactively flag cost increases, expense spikes, or anomalies
Executive Support & Communication
- Prepare weekly QBO reports for leadership to review
- Investigate and resolve discrepancies across QuickBooks, sales platforms, Bill.com, bank records, and budget reports
Required Qualifications
- 3 or more years of bookkeeping experience, ideally managing books for multiple companies
- Direct experience with e-commerce businesses is required
- Strong QuickBooks Online expertise, including native bank feed connectors
- Experience with Bill.com invoices, bills, and payments
- Experience reconciling multi channel sales, such as Shopify, Amazon, or similar marketplaces and payment processors
- Comfort performing journal entries independently
- Strong understanding of financial statements and the general ledger
- High attention to detail with minimal errors
- Ability to work autonomously with confidential financial information
- Comfort presenting and communicating directly with leadership
- Experience supporting e-commerce or subscription-based businesses
- Ability to identify cost trends, margin changes, and flag financial risks
- Experience cleaning up or catching up historical books
- Familiarity with tools such as Shopify, Amazon Seller Central, Stripe, PayPal, Bill.com, Ramp, or similar
