Status: Full-time and Part-time available/ some nights and weekends may be required

About the Role: The Membership & Events Associate is a highly personable, organized, and community-minded team member responsible for supporting the Hula member experience while helping coordinate and execute events and programs across the campus. This role serves as an important point of contact for members, guests, event attendees, vendors, and community partners. The ideal candidate enjoys bringing people together, creating memorable experiences, managing details, and working in a dynamic environment where no two days are exactly alike.
The Membership & Events Associate will work closely with the Community, Events, Operations, and Marketing teams to strengthen member engagement, support membership operations, and deliver exceptional events that reflect Hula's brand and community values.
Requirements:Key Responsibilities
Membership & Community Experience
- Welcome and engage Hula members, guests, prospective members, and visitors with a warm and professional approach.
- Serve as a knowledgeable resource for members regarding campus amenities, services, programs, events, and community offerings.
- Support new member onboarding, including orientations, tours, welcome materials, and introductions to the Hula community.
- Help maintain accurate membership records, member communications, and community information.
- Assist with membership renewals, upgrades, inquiries, and other administrative needs.
- Build relationships with members and proactively identify opportunities to increase engagement and connection.
- Help organize member appreciation activities, networking opportunities, workshops, social gatherings, and community programs.
- Identify member needs and communicate feedback and opportunities to the Community Manager.
- Help create an inclusive, welcoming, and engaging atmosphere throughout the Hula campus.
Events & Programming
- Support the planning, coordination, and execution of Hula-hosted events, member events, workshops, networking programs, conferences, and private events.
- Assist with event logistics, including room setup, signage, registration, catering, technology, supplies, and breakdown.
- Coordinate with vendors, caterers, speakers, sponsors, partners, and event clients as needed.
- Serve as a friendly and professional on-site representative during events.
- Assist with event check-in, guest registration, wayfinding, and attendee questions.
- Monitor event spaces throughout programs to ensure guests and hosts have an excellent experience.
- Help maintain event calendars, run-of-show documents, checklists, and other organizational materials.
- Support post-event activities, including cleanup, inventory, feedback collection, and follow-up.
- Assist with tracking event attendance, member participation, and other engagement metrics.
- Contribute ideas for new events and programming that strengthen the Hula community.
Communication & Marketing Support
- Assist with member communications, event announcements, reminders, and follow-up communications.
- Maintain accurate event and membership information across relevant platforms.
- Collaborate with the Marketing team to support campaigns and community storytelling.
Operations & Administrative Support
- Maintain organized membership, event, and community records.
- Assist with event supplies, equipment, inventory, signage, and storage.
- Help ensure common areas and event spaces are welcoming, organized, and event-ready.
- Support campus operations and special projects as needed.
- Follow Hula policies and procedures related to safety, hospitality, privacy, and event operations.
- Perform other duties as assigned.
Qualifications
- 1–3 years of experience in hospitality, events, membership services, coworking, customer service experience, or a related field preferred.
- Exceptional interpersonal and customer-service skills.
- Highly organized with strong attention to detail.
- Excellent verbal and written communication skills.
- Comfortable interacting with a wide variety of people and personalities.
- Ability to manage multiple priorities and remain calm in a fast-paced environment
- Strong problem-solving skills and a proactive.
- Comfortable working independently while also collaborating closely with a team.
- Familiarity with event planning, registration platforms, CRM systems, Google Workspace, Microsoft Office, or similar tools.
- Ability to work occasional evenings and weekends based on the event calendar.
- Ability to assist with event setup, breakdown, moving supplies, and maintaining event spaces.

Schedule & Work Environment
This is an on-site position at Hula Lakeside in Burlington, Vermont. The position requires flexibility to support events and programs, including occasional evening and weekend hours.
The role involves regular interaction with members and guests and may require standing, walking, lifting and moving event materials, and assisting with event setup and breakdown.
