To a Multi-Company Founder

Full-Time · Hybrid (3-4 days in office) · Plymouth Meeting, PA

I run three companies, a personal brand, and a handful of ventures that keep multiplying. I need one person who can hold the center of it all. Someone who anticipates instead of reacts. Someone who can tell the person on the other end of the phone "no" without me having to make the call. Someone who reads the room, moves fast, and keeps ten plates spinning without dropping any of them.

ABOUT US

The main companies are beMarketing (a full-service ad agency with 90+ retainer clients focused on home services and healthcare), Swag It (branded apparel and promotional products), and 9-one-1 Marketing (marketing solutions built for emergency service providers). Around those sit BRANDon, my personal brand and speaking platform, plus a growing slate of ventures that currently includes Philly Fan Gear and CanCaps.

New ideas turn into new businesses around here. That is not going to slow down. If you like predictable, this is the wrong seat. If you want to be in the room when things get built, keep going.

ABOUT THE ROLE

Forget the admin job description in your head. This is a right-hand seat.

You are the person who decides who gets on my calendar and who does not. You are the person who takes a half-idea I mentioned in the car and turns it into a scheduled meeting, a vendor list, and a decision on my desk by Friday.

You will own two things above everything else: my time and the follow-through across every project, person, and company that touches me. If a ball gets dropped, you catch it. If a ball is about to get dropped, you see it coming a week out and route around it.

The role is primarily focused on the business side, with light personal and family support mixed in from time to time. You will be trusted with confidential information and the inside of a growing portfolio. That trust is the job.

WHAT SUCCESS LOOKS LIKE

By Day 30: You own the calendar. Nothing gets on my schedule without going through you first, and you are already saying no to things without asking.

By Day 60: You are screening my inbox and drafting the simpler replies. Travel, expenses, and day-to-day logistics are running without me having to think about them.

By Day 90: You are trusted by my leadership team as the person to reach me through. You know the rhythms of all three companies. You are catching balls before they drop and flagging problems a week out.

By Month Six: You are indispensable, and you know it. The role has grown into whatever you have made of it.

KEY RESPONSIBILITIES

Calendar & Gatekeeping

•      Run and optimize my daily calendar across every company and commitment

•      Make time-sensitive decisions on who gets meeting time, what gets delegated, and what gets declined

•      Flag scheduling conflicts early and keep priorities aligned across the portfolio

•      Anticipate what the week actually needs, not just what is on the schedule

Executive Support

•      Coordinate communication between me and my leadership team, clients, vendors, and partners

•      Prepare, edit, and format correspondence, reports, presentations, and spreadsheets

•      Format and polish decks, reports, and briefings for key meetings

•      Handle other executive tasks as priorities shift (and they will, often)

Communications

•      Screen and answer emails, phone calls, and in-person visits

•      Draft correspondence when needed

•      Manage meeting logistics and follow through on action items

Operations & Project Management

•      Keep projects moving across every company we operate

•      Track tasks, deadlines, and priorities, and hold other people accountable to them

•      Support special projects and startup initiatives by coordinating resources and tracking progress

•      Research products, services, software, and vendors before decisions get made

Travel & Logistics

•      Coordinate all business travel

•      Build itineraries, arrange backup plans, and manage expense reporting

•      Stay one step ahead of anything that could go sideways in transit

Office Administration

•      Keep day-to-day office operations running smoothly, including supply ordering and inventory

•      Coordinate IT support and manage vendor and landlord relationships

•      Maintain filing systems, historical records, and secure handling of confidential documents

•      Keep the office space organized and running efficiently

Personal & Family Support

Occasionally run personal errands, book personal appointments, and help with family events and logistics when they cross into business priorities. This is a small part of the role, but the right person is happy to do it well.

Marketing & Social Media Support

•      Assist with social media posting and marketing projects as assigned

•      Track industry trends and support company event planning

SKILLS & QUALITIES REQUIRED

•      Organized to a fault. If your desktop has 47 unnamed folders, this is not for you.

•      Ruthless prioritization. You can pivot ten times in a day and still know what matters most.

•      High emotional intelligence. You read people quickly and can interact with a $10K/month client, a longtime vendor, and my leadership team all in the same afternoon without losing your footing.

•      Discretion. You will see and hear things that stay inside the walls of this office.

•      Strong written and verbal communication.

•      Self-starter. You do not need to be told what to do next. You are already three steps ahead.

•      Detail obsessed. The details are the job.

•      Tech-fluent. You pick up new software fast and are not intimidated by tools you have never seen.

•      Proactive problem solver with a good attitude on a hard day.

•      Professional presence. You represent me everywhere you show up.

PREFERRED EXPERIENCE

•      Prior experience supporting executives, business owners, or entrepreneurs

•      Fluency with Microsoft Office, Google Workspace, and project management platforms like ClickUp

•      Background working with startups or across multiple businesses at once

•      Experience in insurance, finance, marketing, or technology is a plus

COMPENSATION & BENEFITS

$70,000 to $75,000 base salary, based on experience.

Time Off

•      11 days PTO in year one, scaling up to 26 days at 15+ years

•      8 paid holidays plus a paid day off for your birthday

•      Summer Fridays (office closes at 1 pm from Memorial Day through Labor Day)

Flexibility

•      Hybrid schedule with 3-4 days in office and 1-2 WFH days each week

•      Additional 12 flex WFH days after 90 days, usable however you want

•      Flextime on in-office days (plus or minus 90 minutes on the 8:30am to 5pm window)

Retirement

•      401(k) with company match ($0.25 on the dollar up to 6%) after 6 months
