Job Title: Donor Intelligence & CRM Coordinator

Department: Resource Development

Reports To: Director of Resource Development

Position Summary

The Donor Intelligence & CRM Coordinator supports the organization’s resource development efforts by maintaining accurate donor and prospect information, coordinating day-to-day CRM activities, conducting assigned donor and community research, and preparing reports for development leadership.

This position does not engage in direct fundraising or independently establish fundraising, donor-engagement, or organizational strategy. The coordinator organizes and analyzes information to support decisions made by development and executive leadership.

Requirements:

Key Responsibilities

CRM Management & Data Integrity

  • Coordinate the day-to-day maintenance and use of the organization’s CRM system including record maintenance, data-quality processes, routine reporting, and standard configuration under the direction of development leadership.
  • Apply established data-entry standards and procedures to maintain accurate, consistent, and complete donor and prospective donor records.
  • Conduct routine database reviews to identify duplicate, incomplete, or outdated records.
  • Prepare standard dashboards and reports to support development activities.
  • Assist development leadership

Donor & Prospect Research

  • Conduct donor and prospect research requested by development leadership using available internal and public sources.
  • Compile giving histories, affiliations, philanthropic interests, and other relevant background information.
  • Prepare concise donor and prospect profiles for development and executive leadership.
  • Identify potential donors or partnership opportunities and refer them to development leadership for review.
  • Update CRM records with relevant research findings in accordance with established procedures.

Community & Business Intelligence

  • Monitor designated public information sources for community and business developments relevant to fundraising and partnership opportunities.
  • Summarize and present relevant developments to department leadership through periodic reports or briefings.
  • Maintain an organized tracking log of emerging donor and partnership opportunities and present potentially relevant opportunities to management for review and prioritization.
  • Conduct additional community or business research as requested by development leadership.

Reporting & Strategic Insights

  • Prepare recurring and ad hoc reports for use by departmental and executive leadership in campaign planning, donor engagement, and board communications.
  • Summarize donor, prospect, and community information in a clear and usable format.
  • Identify observable trends, gaps, or data-quality concerns and bring them to the attention of development leadership.
  • Assist with the preparation of data and background information used in campaign planning, donor engagement, and board materials.

Cross-Functional Collaboration

  • Partner with marketing, finance, and program Community Impact teams to ensure alignment of data and messaging
  • Assist with event preparation by producing attendance lists, donor information, and related reports.
  • Complete additional research, reporting, and CRM-support assignments within the position’s established scope.

Qualifications

Education & Experience

  • Bachelor’s degree in nonprofit management, business, communications, data analytics, or related field preferred; equivalent education and relevant experience will be considered.
  • 2 to 4 years of experience involving CRM or database maintenance, donor or prospect research, development operations, or data analysis.

  • Strong proficiency in CRM systems (e.g., Salesforce, Raiser's Edge, or similar)
  • Excellent research and analytical skills
  • Approaches research with curiosity, initiative, and attention to detail.
  • Strong attention to detail, solid professional judgment, and a commitment to confidentiality, and follow-through.
  • Ability to research, organize, summarize, and present information accurately.
  • Strong organizational and time management skills
  • Discretion in handling confidential donor information
  • Proficiency in Microsoft Excel and data visualization tools is a plus
