Job Description
JOB TITLE: Business Affairs Coordinator REPORTS TO: Director of Business Affairs Position Summary The Business Affairs Coordinator provides operational and administrative support to the Business Affairs Department, assisting with risk management, negotiations, process oversight, celebrity and influencer contracts. This role ensures accuracy, compliance, and timely execution of agreements while helping maintain organized systems and smooth internal collaboration across teams. Will work alongside a hands-on, collaborative team that embraces every challenge and approaches the work with a solutions-first mindset. Duties & Responsibilities Assist with onboarding documentation for new vendors Generate and manage vendor purchase orders Coordinate of talent payment and usage payments Track project start / end dates and verify funds are in place prior to project kickoff Maintain organized files and records Track and coordinate all vendor invoices per project Support coordination between POD, Barrelhouse and Silverside when necessary What Success Looks Like Reduction in turnaround time for review and response Improved accuracy and tracking of talent usage payments Fewer delays to estimate approval Reduced timing of vendor set up and payments Required Knowledge, Skills, and Abilities Strong organizational skills with exceptional attention to detail Ability to manage multiple projects, priorities, and deadlines simultaneously in a fast-moving environment Highly self-sufficient, proactive, and comfortable taking ownership of tasks without constant direction Able to manage and track communication across multiple channels (Gmail, GChat, Lark, text), ensuring nothing falls through the cracks Responsive and capable of handling time-sensitive requests with urgency and care Clear, concise written and verbal communication skills, with the ability to manage up and keep stakeholders aligned High discretion and professionalism when handling confidential and sensitive information Team-oriented mindset with a strong sense of accountability, recognizing that the department relies on clear communication and follow-through to operate effectively Physical Demands n/a Salary & Benefits: The base salary range for this role at the time of posting is $70,000 to $80,000. The salary an employee or prospective employee is paid within this range will depend on factors such as but not limited to: internal compensation of current employees in similar roles, market considerations, budgetary considerations, level of responsibility, background, experience, and qualifications.
