Responsibilities

• Triage and organize incoming client communication into clear, actionable next steps
• Set up and maintain client files, folders, and project documentation
• Draft first-pass emails, meeting recaps, and summaries using AI, then refine for accuracy and voice
• Support Monday.com project boards, keeping tasks, deadlines, and ownership current
• Manage social post scheduling and publishing across platforms, executing an approved content calendar, not writing the posts themselves
• Build and maintain SOPs, QA checklists, and templates for recurring AI-assisted workflows
• Build specced Claude workflows in Cowork, using existing Skills and processes as the blueprint — to direction, not from scratch
• Document contractor handoffs and publishing instructions so process knowledge doesn’t live in one person’s head
• Help redirect client communication into the right channels and systems
• Assist with light research, formatting, and administrative follow-through across multiple accounts simultaneously

Requirements

• Genuine, demonstrated day-to-day fluency with AI tools like Claude or ChatGPT, not familiarity, fluency
• Experience building or maintaining SOPs, checklists, or process documentation, you think in repeatable systems, not just completed tasks
• Strong organizational skills and comfort managing multiple priorities without dropping details
• Excellent writing and communication skills
• A proactive mindset, you notice what needs to happen and do it, rather than waiting to be told
• Comfort working independently in a fast-moving, sometimes ambiguous environment
• Experience with Monday.com, Google Workspace, or similar tools is a plus
