Job Summary

Reporting to the Executive Administrator/Office Manager, the Administrative Assistant serves as a highly trusted strategic partner to the Chief Operating Officer (COO) and Chief Marketing Officer (CMO), providing high-level administrative, operational, and communications support. This role manages complex calendars, priorities, travel, meetings, and confidential matters while serving as an extension of the executives and their offices.

In addition to administrative duties, the Administrative Assistant assists with executive event planning, coordinates leadership offsites and town halls, supports executive communications and presentation development, and oversees key office management responsibilities for the Restaurant Support Center (RSC). This role requires exceptional judgment, discretion, organizational agility, and the ability to anticipate needs in a fast-paced, dynamic environment.

The ideal candidate is a proactive problem solver who can seamlessly balance executive support, operational execution, stakeholder management, and event coordination while building strong relationships across all levels of the organization.

Essential Job Functions

•    Serve as a strategic partner to the COO and CMO by independently managing complex calendars, competing priorities, executive communications, travel arrangements, expense reporting, and highly confidential business matters. 
•    Proactively coordinate executive meetings, leadership reviews, business planning sessions, and cross-functional initiatives, including tracking action items, deliverables, and follow-up activities.
•    Exercise independent judgment in prioritizing executive time and determining how competing requests, meetings, business needs, and stakeholder priorities should be addressed or escalated.
•    Aid in the development, formatting, and refining of executive-level presentations, reports, talking points, and communications for leadership meetings, town halls, board materials, and business reviews. 
•    Assist in the planning and execution of executive offsites, leadership conferences, town halls, team events, and special programs, including logistics, travel coordination, agendas, vendor management, budgets, and attendee communications. 
•    Assist with designated executive and departmental budgets, including tracking expenditures, reviewing actual spending against budget & forecast, identifying variances, and partnering with Finance on ongoing budget management.
•    Assist in managing Restaurant Support Center office operations, including vendor relationships, office services, facilities coordination, workplace experience initiatives, executive office readiness, and visitor management. 
•    Build strong partnerships across all levels of the organization and serve as a key point of contact for executives, team members, external partners, and Yum! stakeholders. 
•    Lead special projects, process improvements, and strategic initiatives on behalf of executive leadership while exercising sound judgment and maintaining a high level of discretion.

Skills & Knowledge Requirements

•    1-3 years of project management and/or administrative experience 
•    Office management or workplace operations experience preferred.
•    Bachelor's degree preferred but not required.
•    Other Critical Qualifications: 
    o    Exceptional judgment, professionalism, and discretion with confidential information.
    o    Strong executive presence and ability to interact effectively with senior leaders and external partners.
    o    Outstanding written, verbal, and interpersonal communication skills.
    o    Strong organizational and project management capabilities.
    o    Proven ability to prioritize competing demands and manage complex workloads.
    o    Demonstrated ability to anticipate executive needs before they arise.
    o    Experience managing high-profile events and executive engagements.
    o    Strong attention to detail and commitment to excellence.
    o    Ability to work independently and thrive in ambiguous situations.
    o    Highly collaborative with a customer-service mindset.
    o    Proficiency in PowerPoint, Excel, Outlook, Word, Teams, and other Microsoft Office applications.
    o    Experience creating executive-level presentations and communications, a plus.
    o    Ability to maintain composure and professionalism under pressure.

Hourly Range: ­­$29.76 to $34.90 per hour + bonus eligibility + benefits
