Own and coordinate end-to-end event marketing and communications initiatives for James Beard Foundation Awards and related programs, driving collateral creation, approvals, and stakeholder alignment across Bowen & Co. Events and client teams.

Job Description

Responsibilities

  • Serve as the primary liaison on the James Beard Foundation Awards, Taste America, and Gala accounts, as it relates to client’s marketing and communications department, coordinating across departments including graphic design, marketing, public relations, sponsorship, and events
  • Attend regularly scheduled meetings with the client and Bowen & Co. Events, as needed
  • Collaborate and maintain comprehensive timelines for James Beard events, ensuring all collateral deadlines are met and Bowen & Co. Events’ deliverables are supplied in a timely manner
  • Create and maintain checklists of all printed/digital collateral needs
  • Oversee day-to-day workflow for collateral creation and manage within project management software (Monday.com)
  • Manage relationships with all internal/external stakeholders as it relates to collateral creation/approvals, including graphic designer, client project manager, client communications/marketing team, internal sponsorship manager, and internal Bowen & Co. Events leadership
  • Collaborate with parties noted above to create and/or deliver up-to-date information and assets (copy, menus, chef lists, sponsor logos, etc.), communicate edits, gain necessary approvals, and manage the design/print process in a timely manner for all collateral pieces
  • Ensure all internal stakeholders (sponsorship manager, culinary producer, event director, etc.) are aware of upcoming deadlines
  • Identify potential issues and work proactively to resolve them, alerting Bowen & Co. Events leadership as needed
  • Track the success and efficiency of collateral materials/processes and suggest process improvements, as needed

Requirements

  • Strong organizational skills and exceptional attention to detail
  • Excellent communication skills, both verbal and written
  • Strong computer skills including Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Aptitude for technology and working in software management systems, like Monday.com
  • Creative problem solver
  • Ability to handle multiple tasks in a fast-paced environment and meet deadlines
  • Ability to be a good brand representative for Bowen & Co. Events
