Job Description

Responsibilities

  • Partner with cross-functional teams during weekly Future Project Forum (FPF) meetings to track project progress, document key decisions, identify risks and dependencies, and drive follow-through on action items. Develop comprehensive meeting outputs that enhance stakeholder alignment, support project governance, and enable successful delivery of strategic initiatives.
  • Own the integrity and governance of the FPF tracker as the department's centralized system of record — capturing meeting outcomes, assigning accountability for action items, and enforcing timeline discipline across stakeholders. Lead ongoing data quality audits to ensure the tracker remains a reliable, decision-ready resource for department leadership.
  • Own the document management infrastructure for presentation materials across OneDrive, SharePoint, and future platforms — establishing naming conventions, version control standards, and access protocols that ensure organizational consistency. Drive the distribution strategy for pre-read materials to maximize meeting readiness and decision-making efficiency.
  • Lead pre-meeting coordination for weekly FPF sessions, auditing submitted materials for completeness and accuracy before finalizing and distributing documentation. Collaborate closely with the Senior Manager to ensure all project trackers and materials are positioned for seamless, high-impact meeting execution.
  • Own the action item governance process for FPF meetings, ensuring every commitment is captured, assigned, and tracked to resolution. Manage ongoing status visibility and follow-up cadence to hold cross-functional teams accountable to agreed timelines.
