Job Summary

Own the backbone of marketing operations by coordinating vendor onboarding, contracts, budget forecasting, and project management for campaigns and collateral.

Wrike and SharePoint admin: configure, support users, maintain templates, dashboards, and timelines to drive on-time execution.
Vendor and procurement orchestration: onboarding, SOWs, invoices, renewals, and documentation to shorten cycle times.
Budget and resource stewardship: track spend, forecast, reconcile, and steer investment toward high-impact campaigns.

Job Description

Responsibilities

Coordinate and manage marketing vendor onboarding and contracting processes in partnership with Legal, Finance and Procurement
Track contract status, renewals, statements of work (SOWs), and vendor documentation to ensure timely execution
Manage invoice routing and approval processes for Accounts Payable (AP)
Evaluate marketing departmental processes and recommend improvements to increase efficiency, scalability, and effectiveness
Develop, document, and implement marketing departmental processes and best practices to improve campaign execution, resource management, and team efficiency
Analyze marketing spend, identify budget risks and opportunities, and make recommendations regarding resource allocation and investment priorities
Assist with monthly and quarterly budget forecasting, reconciliation, and actuals reporting
Own the administration of the marketing project management platform (Wrike), including system configuration, user support, and process maintenance.
Create and maintain project templates, campaign workflows, dashboards, timelines, and reporting structures within the project management platform
Monitor project status and drive accountability for deadlines and deliverables

Requirements

Bachelor’s degree in Marketing, Business, Communications, or related field
1-3 years of experience in marketing coordination, marketing operations, or project management support
Understanding of marketing campaign workflows and operational processes
Experience managing budgets, invoices, or financial reconciliation processes
Experience supporting vendor contracts and procurement processes
Familiarity with project management platforms such as Wrike, Asana, Monday.com, or similar tools
Strong organizational skills with exceptional attention to detail
Ability to manage multiple projects and deadlines simultaneously
Proficiency in Microsoft Office Suite, SharePoint, and collaboration tools
Basic graphic design experience using Canva, Adobe Creative Suite, or similar design tools

Nice_to_have

Familiarity with project management platforms such as Wrike, Asana, Monday.com, or similar tools
Basic graphic design experience using Canva, Adobe Creative Suite, or similar design tools
Mid-level presentation experience in basic design and formatting PowerPoint and presentation decks
