Job Description

Responsibilities

  • Manage logistics for conferences, trade shows, and company events, ensuring seamless execution from planning to post-event follow-up.
  • Plan, organize, and execute all aspects of event participation—including booth logistics, registrations, shipping, and vendor communication.
  • Maintain organized event documentation, ensuring all details are accurate and deadlines are met.
  • Troubleshoot challenges during planning and execution with sound judgment and minimal supervision, keeping leadership informed as needed.
  • Develop and sustain relationships with conference organizers, vendors, and suppliers, responding promptly to requests in a professional manner.
  • Serve as the central point of contact for staff attending conferences, providing timely updates and clear instructions to ensure they are fully informed and prepared.
  • Compile and distribute comprehensive event information to internal attendees, including travel, registration, exhibit, booth set-up and shipping details, plus attendee lists and expense procedures.
  • Coordinate all conference display pieces and pull-up displays, ensuring all parts are accounted for, functional, and communicating when replacements or updates are needed.
  • Oversee company “swag” inventory and lead the ideation, selection, and distribution of promotional items for clients and staff, ensuring alignment with brand and event goals.
  • Travel to conferences and company events as required.

Social Media & Blog Creation and Management

  • Develop and execute a social media strategy showcasing Stelter’s thought leadership, client successes, industry participation, company culture and community engagement.
  • Collaborate with the Marketing Team Lead and contributing authors to plan and publish blog content that aligns with overall brand messaging.
  • Analyze blog and social media performance metrics; make recommendations to improve reach and engagement using marketing best practices.
  • Research marketing trends and recommend innovative approaches for content, platforms, and outreach.
  • Generate and implement innovative ideas to strengthen Stelter’s digital presence.

Marketing Communications Support

  • Serve as project lead for assigned marketing initiatives, managing timelines, budgets, and deliverables from start to finish.
  • Ensure all projects are executed accurately and consistently with brand standards and voice, requiring minimal oversight.
  • Collaborate with internal designers and writers to execute the marketing vision for campaigns, collateral and event materials: clearly articulating project goals, target audience, timelines, and deliverables.
  • Prepare and present marketing updates, event recaps and strategic ideas to leadership and cross-functional teams.

Sales & Lead Management

  • Oversee incoming sales leads from multiple channels, qualifying prospects, tracking progress, and ensuring timely handoff of qualified leads to the sales team.

Backup Support

  • Acts as backup to the Marketing Team Lead as needed, providing support on projects, communications and event coordination.
