Job Summary

Own end-to-end field events from logistics to ROI with cross-functional collaboration and hands-on vendor management.

  • Event logistics and on-site operations: plan tradeshow setups, booth services, and swag inventory.
  • Attendee recruitment and pre-show outreach: drive registrations and coordinate territory-specific outreach with Sales/CS.
  • Data, budget, and process: track ROI, manage Budgets in Brex, and build repeatable event playbooks.

Job Description

Responsibilities

  • Event Logistics & Preparation: Plan and execute the operational side of tradeshows, conferences, learning labs, and field events. Build and manage booth shipment maps in partnership with Zilla, ensure show services (electric, furniture, AV/IT) are ordered ahead of vendor discount deadlines, and own in-office inventory of swag, flyers, and booth supplies.
  • Attendee Recruitment & Pre-Show Outreach: Drive event registrations through targeted outreach to prospects, customers, and partners. Build and execute pre-show invite cadences earlier in the event lifecycle to maximize attendance and quality. Partner with Sales and CS on territory-specific outreach plans.
  • Team Collaboration: Work closely with Field Marketing Managers, the broader Marketing team, and Sales / CS leaders to understand territory goals and execute events that align with each segment's strategy.
  • Budget Management: Use Brex to manage event budgets, assign traveler cards, monitor spend, and partner with Finance on monthly reviews.
  • Data & Reporting: Track event performance (registrations, attendance, MQLs, pipeline influence) and contribute to ROI analysis that guides future event participation.
  • Vendor & Partner Coordination: Manage day-to-day relationships with Zilla, swag vendors, shipping carriers, and convention center contacts. Coordinate show services and resolve logistics issues in real time during events.
  • Process & Documentation: Maintain operational documentation, build repeatable playbooks for new event types, and continuously look for cost-saving and efficiency improvements.

Requirements

  • 1-3 years of event planning, field marketing, or relevant marketing / sales experience
  • Travel for events as needed (approximately 1-2 times per quarter)
  • Hybrid work arrangement requiring a minimum of 1-2 in-office days per week, with additional onsite days as business needs require. Candidates should be based in the Columbus, OH area or within a reasonable commuting distance.
  • Experience with Salesforce, Marketo, Notion, Swoogo (or comparable event management software), and Brex (or comparable expense management) preferred
  • Highly self-motivated, detail-oriented, and able to prioritize across multiple concurrent events
  • Strong written and verbal communication

  • Comfort with SaaS marketing operations preferred
