Job Summary

Own and execute the end-to-end event content program, from Call for Speakers to on-site logistics and post-event analysis, in collaboration with the Research team and internal DX staff.

Job Description

Responsibilities

  • Coordinate with the Research team on content program design — they set the editorial direction; you execute the operational plan to bring it to life
  • Run the Call for Speakers program end-to-end — system setup, reviewer assignments, messaging, submission tracking, and website updates
  • Manage speaker communications and logistics — pre-event outreach, calendar holds, Know Before You Go (KBYG) materials, travel coordination, and post-event thank-yous
  • Relay Research team feedback to speakers on their content — helping speakers shape their talks based on editorial guidance from yourself and the Research team
  • Manage content workback timelines — create and maintain production schedules, align with audience acquisition and website timelines, track deliverables
  • Facilitate deck reviews and handoff to production — coordinate deck design/cleanup, copy editing, and creative asset delivery
  • Support session and agenda management — session room allocation, scheduling, A/V requirements, live streaming needs, and digital content setup
  • Create cue sheets, VOG scripts, and MC scripts for event production
  • Manage on-site rehearsals and speaker ready room — coordinate rehearsal schedules, A/V checks, and day-of speaker support
  • Analyze event content performance — post-event feedback and recommendations for improvement (think critically; act like a product manager for your content program)

Requirements

  • 3–5 years of experience in event content operations, event production, or conference program management
  • Strong project management skills — you can manage dozens of speakers, parallel timelines, and cross-functional dependencies without dropping balls
  • Experience running a Call for Speakers / Call for Papers program (intake, reviews, scheduling, communications)
  • Comfortable creating cue sheets, VOG scripts, and MC scripts
  • Excellent written communication — you'll be the voice speakers hear from first outreach through post-event
  • Proficiency with content/session management tools
  • Highly organized, detail-oriented, and able to work independently in a deadline-driven environment
  • Ability to travel onsite to events, with some weekend travel required

Preferred

  • Experience in the technology/SaaS sector
  • Experience managing content operations for events of 200–1,000 attendees
  • Comfort interfacing with senior external speakers (VP+ level) on logistics and scheduling
  • Experience coordinating deck reviews, design cleanup, and production handoffs
