Job Summary

Own the essential admin and communications backbone that keeps campaigns moving, calendars aligned, and assets organized across two teams and multiple vendors.

  • Admin and logistics: schedule meetings, capture minutes, circulate agendas, and track action items for Communications and Preservation programs.
  • Asset and workflow support: maintain brand materials, assist with print collateral in InDesign, and manage digital content across the website, social, and e-news.

Job Description

Responsibilities

  • Support the Communications team by scheduling internal and external meetings, managing team communications, taking minutes, and following up on action items.
  • Coordinate project kick-off and key program meetings with the Preservation team by scheduling meetings, circulating agendas, taking minutes, and following up on action items.
  • Maintain department calendars by tracking key dates, events, and projects.
  • Track and update internal documents and brand reference materials, including PowerPoint templates and the fact sheet.
  • Assist with basic design updates to print-ready materials such as business cards, stationery, brochures, and related collateral in InDesign.
  • Liaise with external vendors as needed, including photographers and printers.
  • Support digital content workflows across the website, social media, and e-news.
  • Support the Communications team with budgets, invoices, and expense tracking.
  • Track and manage off-site storage and in-house inventory of swag and key marketing materials, including magazines, special publications, brochures, and other collateral overseen by the Communications team.
  • Manage deliveries of swag and marketing materials to the office.

Requirements

  • 1-3 years of experience in communications or similar office environment.
  • Bachelor's degree.
  • Computer fluency in Microsoft environment (Outlook, Word, Excel, and PowerPoint).

Preferred

  • Website admin, html, and database skills a plus.
