Coordinate campaigns and partners to keep the Winchester Grade-Level Reading effort on track; this role manages agendas, meetings, reporting, and stakeholder engagement.

Job Description

Responsibilities

  • Agenda Development: Prepare detailed, purposeful agendas for all Campaign meetings (Steering Committee, Work Groups, partner convenings) in advance, in coordination with meeting leads
  • Meeting Logistics: Manage all scheduling, calendar invitations, venue or virtual platform coordination, and materials distribution ahead of every meeting
  • Minutes & Action Item Tracking: Take clear, accurate meeting minutes for all Campaign meetings and distribute in a timely manner. Maintain a living action item tracker and proactively follow up with responsible parties to ensure accountability and on-time completion
  • Partner Communication & Engagement: Serve as the primary point of contact for Campaign partners between meetings. Maintain regular, proactive communication to keep partners informed, engaged, and aligned with Campaign priorities
  • Campaign Calendar Management: Own and maintain the master Campaign calendar, ensuring all meetings, events, deadlines, and milestones are accurately tracked and communicated
  • Coordinate information, activities, and data across all Campaign partners and work groups
  • Support and inform strategic priorities for the Campaign in partnership with the Director of Impact and Advancement
  • Track and report on Campaign progress through regular reports and dashboards shared with the Steering Committee and UWNSV leadership
  • Provide administrative and operational support to committee and work group leaders
  • Staff and manage Campaign volunteers as needed

Requirements

  • 3+ years of professional experience in a coordination, administrative, teaching, or related role
  • MS Office Suite (Word, Excel, PowerPoint, Teams)
  • Outlook (calendar management and email coordination)

Preferred

  • Adobe Suite or Canva (graphic design and visual content creation)
  • Email newsletter platforms (Mailchimp, Constant Contact, or similar)
  • Social media platforms and scheduling tools (Facebook, Instagram, LinkedIn, Hootsuite, or similar)
  • Website content management systems (WordPress, Squarespace, Wix, or similar)
  • Project management tools (Asana, Trello, Monday.com, or similar)
  • Nonprofit, community organization, or coalition experience is a plus but not required
