Job Summary

Take ownership of office and events ops, keeping calendars tight and vendors aligned while enabling cross-functional teams and key stakeholders with smooth procurement and facilities support.

  • Own event logistics and cross-functional PR alignment to drive seamless conferences and investor/partner engagements.
  • Build and maintain procurement, inventory, and asset processes to reduce friction and automate basic budget tracking.
  • Coordinate office operations and vendor relationships to keep the London base functional and secure.

Job Description

Responsibilities

  • Marketing & events: support conference logistics: registrations, booth bookings, vendor coordination, and on-site assistance.
  • Maintain events and marketing content calendars and ensure cross-functional and PR agency alignment.
  • Manage swag, collateral and business card inventories; coordinate orders and distribution.
  • Liaise with PR agency and route press inquiries; support press kits and event logistics.
  • Support London event coordination and gifting for investors, customers and team members.
  • Office operations & facilities: Maintain office presentability and security (clear desk policy, marketing material presentation, building access procedures).
  • Manage office supplies, peripheral equipment, furniture and refreshments; handle deliveries and post-room collections.
  • Administer company account access and invitations (e.g., bike cards, meeting invites, OfficeRnD/KISI where applicable).
  • Coordinate basic facilities maintenance and vendor relationships.
  • Maintain company Contracts Register with all signed contracts.

Requirements

  • Graduate or 1–4 years’ experience in office coordination or marketing support.
  • Experience with event coordination, vendor management, and basic procurement.
  • Strong organisational skills, attention to detail, and good written/verbal communication.
  • Proficiency in Microsoft 365, Notion, Slack, Teams, and calendar tools.
  • Comfortable supporting events as needed.

Preferred

  • Startup/scale-up experience.
  • Familiarity with Salesforce.
  • Experience working with PR/marketing agencies and managing branded collateral.
