Job Summary

Own the end-to-end growth enablement and proposal engine for a creative agency, balancing inbound intake, first drafts, and PM oversight for complex pitches while keeping BD ops and brand programs humming.

Growth & Proposal Ownership: triage inbound inquiries, draft initial proposals, and lead major RFP project management across cross-functional teams.
Marketing Ops & Brand Support: run the production calendar, coordinate case studies, assist PR/awards, and drive process improvements in marketing and sales workflows.
Tooling & Logistics: maintain CRM hygiene (Pipedrive), coordinate conference logistics, and pilot AI tools to accelerate workflows and enable data-driven decisions.

Job Description

New Business & Proposal Production

Manage the Growth Inbox: Act as the first point of contact for inbound inquiries and referrals. Triage opportunities, set up initial meetings, and ensure every prospect receives a warm, professional response.
Draft Basic Proposals: Lead the first draft for proposals that don’t include creative spec work. This involves sourcing relevant case studies, pulling capability slides, and structuring a narrative that fits the specific client’s needs.
Tactical PM for Major RFPs: On complex, spec-heavy pitches, you will serve as the project manager—owning the timelines, driving budgeting, managing cross-functional coordination, and handling the logistics to ensure a seamless submission.
Growth Logistics: Support the Business Development team with conference schedules, prospect list organization, CRM hygiene (Pipedrive), and related outreach logistics.

Marketing Operations & Brand Building

Marketing PM: Manage the agency’s marketing production schedule, ensuring content calendars, email newsletters, webinars, and social posts stay on track.
Case Study Coordination: Source results and creative assets from across the agency to create compelling case study stories.
PR & Awards Liaison: Support our PR agency with time-sensitive press requests; manage the logistics and submission process for industry awards; and coordinate speaking engagements for agency founders.
Process Improvement: Identify gaps in our current marketing and sales workflows and suggest (then implement) better ways of working.
