Senior Specialist, AI RFP Dev & Content Mgmt

Position Summary JOB DESCRIPTION We are seeking an AI‑enabled RFP & Content Management Specialist to support and modernize our proposal development process. This role combines Knowledge Management, Content Operations, and AI/Automation to streamline RFP responses, maintain a high‑quality content library, and help the team adopt and use AI tools such as Q Pilot / Copilot for smarter, faster proposal creation. The ideal candidate brings experience in RFP content, knowledge management, and hands-on exposure to AI or automation, with a passion for driving process improvements. Key Responsibilities Use AI tools (Q Pilot / Copilot / LLMs) to generate first‑draft RFP responses, summaries, and compliance checks. Train team members on using AI for drafting, content search, and workflow automation. Build and maintain a structured content library with accurate, up‑to‑date RFP answers, boilerplates, case studies, and company information. Organize and tag content using metadata/taxonomy to improve findability and reuse. Develop prompts, templates, and reusable automated workflows to improve quality and efficiency. Identify automation opportunities and help the team confidently adopt AI‑based proposal processes. Ensure AI‑generated content meets accuracy, brand, tone, and compliance standards. Partner with SMEs, Sales, Marketing, and KM teams to continuously refine content. Qualifications 2+ years of experience with using generative models (ChatGPT, Gemini) for content, coding assistants (GitHub Copilot), and design platforms (Midjourney, Canva). . Experience maintaining or using a centralized content library or knowledge base. Familiarity with AI tools (Copilot, ChatGPT, Q Pilot, Writer.com, or similar). Strong writing, editing, and content organization skills. Experience with project management and process improvement – process mapping and analysis, evaluating workflows, implementing data-driven, actionable solutions to enhance productivity and quality, cross-functional collaboration. Ability to manage multiple requests, deadlines, and content updates. Detail‑oriented with strong problem‑solving and analytical skills. Comfort adopting and coaching others on new technology tools. Preferred Skills Experience with RFP tools (RFPIO, Loopio, etc.) Knowledge of content governance, metadata tagging, and version control. Understanding of LLM‑based automation or prompt engineering. Ability to drive change and influence AI adoption within teams.
