The Outreach & Engagement Coordinator must have a passion for Achieva’s mission to advocate with, empower, and support people with disabilities and their families throughout their lives. Position Summary Achieva’s Outreach & Engagement Coordinator will build and maintain relationships with the people we support, their families, and the broader community. The role will represent the Achieva Family of Organizations by demonstrating a thorough understanding of all services to engage and assist the people we support and to increase the organization’s visibility within Achieva’s surrounding communities. Key Responsibilities 1. Service Coordination, Inquiry Management, and Person-Centered Support Works within the Communications Department while collaborating with staff of the Achieva Family of Organizations to ensure person-centered supports are the foundation of Achieva’s offerings. Serves as a knowledgeable point of contact for all inquiries throughout the Achieva Family of Organizations and knows their full range of supports and services. Responds to emails, phone calls, and all service-related inquiries and tracks them within Achieva’s CRM. Reaches out to people who have inquired, visited our website, or have been referred to us, and connects them with the appropriate staff. Collaborates with the Director of Person-Centered Planning to help the people we support and their families, regardless of ability or age, develop a vision for a good life. Partners with the Director of Person-Centered Supports to co-develop an Achieva-branded framework that strengthens engagement and elevates the quality of support for people with disabilities and their families. Maintains a working knowledge of various funding sources (OVR, CHC, Medicaid, and senior care), particularly those supporting people with disabilities, and updates documentation outlining them. Follows up with people to re-engage and creates a log and report for outcomes, including percentages and successful outcomes. 2. Community Outreach, Partnerships, and Public Engagement Represents the Achieva Family of Organizations at community-related events with professionalism. Leads strategic community events plan by identifying opportunities for engagement, evaluating outcomes from each event, and prioritizing presence in high-impact or underserved areas. Manages all logistical aspects of outreach events, including payments, materials, departmental coordination, and oversight of event setup and resources. Nurtures relationships with external collaborative partners and maintains a list of partnerships through Achieva’s outreach tracking system. Engages with Supports/Service Coordination Units and educational institutions to keep them informed about Achieva’s vast array of services. Ensures proper collaboration and coordination when representing all Achieva affiliates. Maintains a calendar of outreach events and collaborates with departments to ensure appropriate representation is available. Prepares an annual budget for community outreach activities, including participation fees, display material, and supplies of promotional materials. Works closely with the Communications team to develop compelling, visually appealing displays that inform and engage community audiences at events. 3. Data Management and Reporting Gathers feedback from the people we support, families, and the community to help improve Achieva’s services, conducting surveys as needed. Communicates suggestions or concerns to relevant internal teams. Collects, analyzes, and reports data on outreach and engagement activities, including request trends, call volume, and the level of support provided to people we support and families. Manages and enhances the database with attention to individual communication preferences to support effective, person-centered engagement. Presents and maintains a slide deck about the Achieva Family of Organizations, which is offered to interested groups, provided quarterly to all stakeholders, and posted on the Achieva website. 4. Communications and Advancement Support Ensures a proper inventory of printed marketing materials and promotional giveaways for all departments. Supports the operation of Achieva’s quarterly online store and manages product distribution. Actively seeks input from employees to provide products that are needed. Provides support to the Advancement Department at events and assists with other initiatives, including print and digital communications. Performs other related duties as assigned. Qualifications A Bachelor’s degree in communications, marketing, business administration, human services, or a related field is required. Must be flexible to work various hours, including some weekends. 2 or more years of prior experience in providing excellent customer service and participating in community engagement activities are preferred. Candidates must have a passion for our mission to advocate with, empower, and support people with disabilities and their families throughout their lives. Exceptional interpersonal skills, with the ability to build and maintain relationships with people we support, families, staff, and community partners. Strong customer service orientation and person-centered approach. Ability to engage diverse audiences with empathy, professionalism, and cultural sensitivity. Skilled in collaboration across multiple departments and external organizations. Excellent public speaking skills with the ability to express ideas to a variety of different constituencies. Excellent verbal and written communication skills for emails, phone calls, presentations, and event interactions. Ability to clearly convey complex information about services and programs. Experience creating and presenting visually engaging materials for outreach events. Excellent time management skills with the ability to meet deadlines. Strong organizational skills to manage multiple projects, events, and inquiries simultaneously. Experience planning, coordinating, and executing events, including logistics, budgeting, and follow-up. Ability to track, report, and analyze outreach activities and trends. Proficiency in managing calendars, databases, and inventories. Proficient with the Google Workspace Suite and productivity apps. Excellent critical thinking and organizational skills, and attention to detail. Interest in professional development, particularly with the LifeCourse Framework. Proficiency with CRM systems and data management, including tracking inquiries, interactions, and outreach activities. Familiarity with social media and digital engagement strategies preferred.
